As Admin & Project Coordinator for Athena Blue Global, you will play an integral role in our Administration and Project Team.

You will support our project and admin team by providing essential administrative and coordination support across our projects and day-to-day operations. You will focus on tasks like collecting and organising data, preparing reports and presentations, scheduling meetings, and helping with event planning and internal communications.

This role also supports executives with calendar and travel management, expense reporting, and document handling. With a strong attention to detail and great organisation skills, this position helps keep projects on track, assists with internal communications, and ensures smooth running of team activities and office processes.

The main responsibilities of a ADMIN & PROJECT COORDINATOR include:

  • Strategy

    • Support the Head of ANZ with administrative tasks as needed

    • Conduct research on workplace, hotel, and retail industry trends, best practices in workplace design, and competitor analysis

    • Assist in developing communication plans and materials to support workplace changes like office relocations or redesigns

    • Help prepare and organize workshops and focus groups to gather feedback from employees and stakeholders, with reporting and summaries

    • Compile and input data into reports, presentations, and visualizations to effectively communicate findings and recommendations

    Project Coordination

    • Support the Project Director with day-to-day administrative tasks

    • Maintain accurate documentation, including drawings, schedules, permits, RFIs, and submittals

    • Document meetings, track action items, and provide regular progress reports to leadership

    • Assist in processing change orders and communicating impacts to project scope, schedule, and budget

    • Create reports and presentations for the Project Management team

    Administration

    • Assist the Business Manager with administrative tasks

    • Coordinate meeting prep by creating agendas, briefings, and presentations for executives

    • Help the Managing Director reconcile receipts and compile quarterly expense reports

    • Organize internal meetings, team events, and offsites from start to finish, including booking travel, accommodations, and activities

    • Draft, format, proofread, and file documents while managing sensitive information with discretion

    • Update and manage business systems such as SharePoint, Pipedrive, Asana, and Harvest
      Monitor IT issues across the business and coordinate with the MSP provider for technical support

To apply, you must be an expert on the following requirements:

  • At least 5 years of experience in an administrative, project coordination, or office support role

  • A bachelors degree is required for this role.

  • Highly organized and detail-oriented, with the ability to manage multiple tasks, meet deadlines, and maintain accurate documentation

  • Proactive and reliable, able to take initiative, follow through on responsibilities, and work independently with minimal supervision

  • Strong written and verbal communication skills, with a professional approach to interacting with team members and stakeholders

  • Flexible and adaptable, comfortable handling shifting priorities and supporting various tasks across departments

  • Discreet and trustworthy, with the ability to manage confidential information with sensitivity and professionalism

  • Proficient in Microsoft Office tools including Outlook, Excel, Word, and PowerPoint

  • Familiarity with tools such as SharePoint, Planner, Harvest, or similar systems is a plus
