Job Summary

• Concentrates on driving business growth and the development of talent. Spends time reviewing and assessing overall team performance.
• Balances stakeholders by establishing good working relationships with the cluster counterparts and other support groups (e.g. HR, IT, etc.).
• Engages and develops teams and individuals. Expected to perform reviews of core processes, complex ad hoc work, and all other client requirements as needed. Provides consistent feedback on accuracy and timeliness of outputs made by the team.
• Monitors overall team results and performance based on KPIs (e.g. Quality and Timeliness, Error Report, Increased Productivity, and Lower Overtime, among others).
• Initiates and facilitates meetings to address overall team performance and develop/coach non-performing individuals.
• Facilitates and assists various Depositary processes of complex clients and conducts all work in accordance with IQ-EQ Philippines Inc. policies and procedures as needed.
• As a people manager, leads, organizes, coordinates, develops, monitors performance, and delegates tasks and responsibilities to direct reports and team members as needed.
• Ensures balanced work allocation across teams and reallocates resources accordingly.

Core Responsibilities

• Responsible for the preparation of complex reporting requirements when necessary.
• Monitors the timely and accurate deliverables of teams and intervenes as necessary.
• Acquires knowledge to become specialists of designated clients' requirements and deliverables.
• Monitors team compliance with procedures and checklists following regulatory requirements of the clients the team handles.
• Provides guidance and coaching to the team in both technical and non-technical aspects of their role.
• Seeks knowledge and expertise for personal professional development.
• Initiates the development of the technical competencies of teams by providing feedback on deliverables and endorsing them to appropriate learning & development activities.
• Monitors the development and assigned training of teams.
• Monitors and provides support to cluster counterparts' escalations and involves relevant stakeholders.
• Monitors agreed timelines of deliverables with cluster counterparts and provides support for escalations to ensure teams carry out work as agreed.
• Effectively communicates and relates with various stakeholders of the team, maintaining and enhancing relationships through crucial conversations.
• Monitors that all client cluster requirements are thoroughly reviewed and follow standards.
• Acts as an alternate for the Head of Delivery based on business needs, which may include cluster client responsibilities, administrative tasks, and team management.

Tasks & Duties

Cluster Client Delivery

• Acquires functional knowledge and understanding of clients' agreements and other necessary information needed to review and/or prepare deliverables.
• Monitors if the team has the needed information, data, and supporting documents for the review/preparation of requirements. Addresses and escalates issues as needed.
• Monitors the consistency and quality of deliverables within agreed timeframes.
• Provides support for timelines and addresses issues for quality as needed.
• Supports the rest of the team and other teams by allotting additional capacity as needed and initiates requests for needed support from other teams.
• Monitors and communicates the review comments of the team and follows up to address pending comments for preparers as needed.
• Acts as the first line of escalation.
• Monitors and oversees the interpretation of client requirements and, in some instances, does the research and validation.
• Reviews and acts as the team approver of submitted reports and compliance cases with root cause information, corrective action, and preventive measures in a timely manner. Responsible for discussing details and actions with HODs and CDDs.
• Oversees the quarterly debrief meeting with the cluster to review team performance, addressing concerns and driving resolutions based on criticality and complexity.
• Decides the proper treatment for transactions when differences in points of view arise and escalates recommendations to appropriate stakeholders as needed.
• Decides on escalated recommendations and, if necessary, escalates to SMEs or the technical team.
• Acts as the first level of escalation for issues/concerns from the funds assigned to clusters.
• Supports Project Managers by functioning as SMEs, coordinating with stakeholders, and allocating resources.

Workflow Management

• Ensures timesheets are completed daily and accurately filed for all hours worked.
• Reviews and approves timesheets of the team, ensuring they are completed daily and accurately filed in a timely manner.
• Reviews and pre-approves filed overtime of the team.
• Sets up, monitors, and updates all deliverables via the workflow planner in a timely manner as needed.
• Monitors and ensures the completeness and accuracy of all deliverables via the workflow planner in a timely manner.
• Analyzes and proactively manages team capacity deliverables by allocating needed resources/support.

Systems

• Understands and uses best practices on Depositary platforms.
• Understands and becomes knowledgeable on how to generate reports using reporting platforms.

Risks

• Monitors relevant procedures, checklists, and regulatory requirements to mitigate errors.
• Monitors reported breaches, complaints, or errors to appropriate stakeholders, ensuring timely action.
• Acquires knowledge of risk factors and potential breaches.
• Reviews and acts as the team approver of submitted reports and compliance cases with root cause information, corrective action, and preventive measures in a timely manner. Responsible for discussing details and actions with HODs and CDDs.

Other

• May undertake any additional tasks and/or responsibilities as part of professional development, which may or may not be related to specific functions.
• Escalates any other work-related issues/concerns to appropriate stakeholders and ensures timely action.
• Participates in interviews as needed.

Qualifications

• Graduate of accounting or any business-related course.
• Experience with meeting client or function deliverables.
• Experience working in Financial Services or Shared Services office environment, specifically in a Depositary.
• Experience working in a multinational office environment.
• Experience in email, word processing, presentation, and video conferencing applications such as Microsoft Office.
• Experience in coaching staff.
• Actual or related work experience.
• Intermediate Excel skills and other MS Office tools.
• Effective written and advanced verbal communication skills.
• Open to travel and other secondment opportunities abroad.
