
Executive Assistant

We are seeking a highly organized and tech-savvy Executive Assistant to provide comprehensive support to our executives.
Key Responsibilities:- Administrative Support:
- Manage executives' calendars, schedule appointments, and coordinate meetings
- Arrange travel itineraries, accommodations, and logistics
- Handle phone calls, emails, and correspondence on behalf of the executives
- Prepare and proofread documents, reports, and presentations
- Research and Analysis:
- Conduct in-depth research on various topics, industry trends, and competitors
- Compile and present data and reports to aid decision-making
- Technology and Tools:
- Proficiently use tools like Google Workspace, Microsoft Office, Slack, and Zoom
- Assist in creating impactful presentations for internal and external audiences
- Collaborate with IT support to resolve technical issues as needed
- Ensure laptops and office equipment are securely stored in the company's storage room, not in personal residences
- Communication and Coordination:
- Act as a liaison between executives and internal/external stakeholders
- Draft and distribute communications with professionalism and clarity
- Organization and Operations:
- Maintain a cloud-based filing system for documents and records
- Streamline processes and implement best practices to enhance efficiency
- Prioritize tasks effectively and ensure deadlines are consistently met
- Local Errands:
- Run errands, such as banking transactions, handling company paperwork, picking up/shipping laptops, and coordinating with vendors in Makati City or BGC, Taguig City
- Assist with personal tasks, such as picking up dry cleaning and managing personal affairs
- Confidentiality:
- Handle sensitive information with utmost discretion and ensure compliance with data privacy regulations
- Must live in or around Makati City or BGC, Taguig City
- Must be currently employed with no significant gaps in recent employment history
- Minimum of 5 years of experience as an Executive Assistant in a large or international organization
- Strong research, organizational, and multitasking skills
- Proficient in tools like Google Workspace, Microsoft Office, Slack, and Zoom
- Willingness to assist with both business and personal tasks
- Must pass a background check
- Provide two professional and two personal references
