Job Title: Executive Assistant

We are seeking a highly organized and tech-savvy Executive Assistant to provide comprehensive support to our executives.

Key Responsibilities:
  • Administrative Support:
    • Manage executives' calendars, schedule appointments, and coordinate meetings
    • Arrange travel itineraries, accommodations, and logistics
    • Handle phone calls, emails, and correspondence on behalf of the executives
    • Prepare and proofread documents, reports, and presentations
  • Research and Analysis:
    • Conduct in-depth research on various topics, industry trends, and competitors
    • Compile and present data and reports to aid decision-making
  • Technology and Tools:
    • Proficiently use tools like Google Workspace, Microsoft Office, Slack, and Zoom
    • Assist in creating impactful presentations for internal and external audiences
    • Collaborate with IT support to resolve technical issues as needed
    • Ensure laptops and office equipment are securely stored in the company's storage room, not in personal residences
  • Communication and Coordination:
    • Act as a liaison between executives and internal/external stakeholders
    • Draft and distribute communications with professionalism and clarity
  • Organization and Operations:
    • Maintain a cloud-based filing system for documents and records
    • Streamline processes and implement best practices to enhance efficiency
    • Prioritize tasks effectively and ensure deadlines are consistently met
  • Local Errands:
    • Run errands, such as banking transactions, handling company paperwork, picking up/shipping laptops, and coordinating with vendors in Makati City or BGC, Taguig City
    • Assist with personal tasks, such as picking up dry cleaning and managing personal affairs
  • Confidentiality:
    • Handle sensitive information with utmost discretion and ensure compliance with data privacy regulations
Requirements:
  • Must live in or around Makati City or BGC, Taguig City
  • Must be currently employed with no significant gaps in recent employment history
  • Minimum of 5 years of experience as an Executive Assistant in a large or international organization
  • Strong research, organizational, and multitasking skills
  • Proficient in tools like Google Workspace, Microsoft Office, Slack, and Zoom
  • Willingness to assist with both business and personal tasks
  • Must pass a background check
  • Provide two professional and two personal references
