About the Role of Admin Coordinator

As an Admin Coordinator (or as we like to call it, Office Maestro), you'll be the behind-the-scenes hero who ensures everything from financial transactions to office logistics is handled with precision and care. You'll manage calendars, process invoices, and provide administrative support to keep the team running like a well-oiled machine.

Key Responsibilities

  • Process financial transactions, including accounts payable and receivable (invoices, payments, etc.).
  • Provide administrative support to the finance team, such as scheduling meetings and filing documents.
  • Manage calendars, schedule meetings, and appointments.
  • Handle incoming and outgoing emails with professionalism and efficiency.
  • Maintain filing systems and ensure documents are organized and easily accessible.
  • Direct inquiries to the appropriate individuals or departments.
  • Maintain databases and spreadsheets with accurate and up-to-date information.
  • Assist with data entry and analysis as needed.
  • Support special projects and events to ensure their success.
  • Document property manager and support team processes and procedures.

Requirements

Must-Have Qualifications

  • Experience in entering and reconciling invoices is required.
  • Excellent written and verbal communication skills.
  • Strong data entry skills and attention to detail.
  • Ability to manage multiple tasks and priorities effectively.
  • Proficiency in Microsoft Office and other administrative tools.
  • A proactive and resourceful approach to problem-solving.
