We are looking for a Team Administrator who will help our team provide excellent service to our partners.

Responsibilities
  • Manage accurate client data in Fin365, ensuring all private wealth and insurance details are up to date and correcting any discrepancies.
  • Facilitate client onboarding process by setting up new prospects in Fin365.
  • Support client review meetings by preparing concise financial summaries and generating required documents.
  • Generate and process forms for ongoing adviser fees, policy cancellations, and replacements.
  • Analyze advice documents to produce the necessary forms for implementing recommended strategies.
  • Assist with tax packs for Self-Managed Superannuation Funds (SMSFs) and coordinate their delivery to the client's accountant.
  • Verify policy information by contacting insurance product providers and requesting policy rundowns for clients.
  • Ensure the correct settlement of asset trades and draft confirmation emails for clients.
  • Maintain and update Fin365 following client meetings and manage the admin team inbox, activating workflows as needed.
  • Identify and suggest process improvements to enhance team efficiency and assist with special projects and ad-hoc requests.
Qualifications
  • Bachelor's degree in Accountancy, Financial Management, Business, Banking and Finance, Economics or any equivalent.
  • Proficient in Microsoft Office Suite (Word, Excel) with the ability to learn new financial software quickly.
  • Exceptional attention to detail and strong analytical skills.
  • Proven ability to work independently and meet deadlines during busy periods.
  • Excellent communication skills (written and verbal) and strong interpersonal abilities.
  • A proactive mindset with a focus on process improvement.
  • Prior knowledge of financial products, providers, or platforms is highly advantageous.
  • Willingness to be assigned to Subic, Clark, Tarlac, Bataan, or Iba, Zambales.
