Job Description
As an Administrative Assistant, you'll manage legal documentation, process invoices, schedule client meetings, and provide essential administrative support. Your role ensures smooth day-to-day operations in a legal services environment.
Job Overview
Employment type: Full-time
Shift: Day Shift, Mon - Fri 08:00 AM to 05:00 PM (Weekends off)
Work setup: Permanent WFH

The Qualifications We Seek
- 1-3 years of experience in an administrative or legal assistant role, preferably in a wills, estates, or legal services environment.
- Familiarity with Smokeball or similar practice management software is a plus.
- Strong organizational and time management skills with a high level of attention to detail.
- Ability to draft legal documents such as simple wills and powers of attorney from provided precedents.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- High level of professionalism, confidentiality, and ethical standards.
- Vibrant, hardworking, and collaborative attitude.
- Background in a wills, estates, or legal services environment is preferred but not required.
- Knowledge of Smokeball is preferred but not required (training will be provided).
Your Daily Tasks
- Open files on Smokeball.
- Prepare invoices and cost agreements.
- Draft simple wills, powers of attorney, and letters based on provided precedents and instructions.
- Manage calendars and schedule client meetings.
- Create safe custody packets on Smokeball for original documents.
- Follow up on outstanding debts (low volume).
- Process invoice payments on Smokeball.
