Admin and Project Coordinator

We are seeking a proactive and detail-oriented Admin and Project Coordinator to facilitate partner communication, oversee project updates, standardize operational processes, and support cross-functional collaboration. The ideal candidate is highly organized, tech-savvy, and dedicated to building strong internal and external stakeholder relationships. This role is essential in ensuring business continuity and operational efficiency, particularly during a key leadership transition.
Key Responsibilities
Project Coordination & Communication
- Act as a liaison between corporate and Partner-in-Charge (PIC) stakeholders.
- Ensure timely updates, follow up on action items, and escalate concerns as needed.
- Respond to partner inquiries professionally and efficiently.
Meeting & Calendar Management
- Schedule and coordinate meetings related to the Partner Project.
- Keep discussions focused, send meeting recaps, and track action items.
SOP Standardization
- Develop and maintain Standard Operating Procedures (SOPs).
- Identify gaps using ticketing systems and ensure annual SOP reviews with department heads.
Internal Communication & Documentation
- Assist in drafting and distributing company-wide messages.
- Manage Google Drive assets, collect newsletter content, and host weekly webinars.
Project Tracking & Data Management
- Maintain accurate KPI tracking and assist in reviewing financial records.
- Support database management, data cleanup, and hierarchy updates.
Surveys & Event Planning
- Create and analyze surveys to collect internal feedback.
- Coordinate biennial training events, scheduling, and task management.
Qualifications
Required:
- 3+ years in project coordination, operations support, or account management.
- Proficiency in Google Workspace (Gmail, Drive, Calendar, Docs, Sheets, Forms).
- Experience with KPI tracking platforms (e.g., Ninety.io).
- Strong communication, organization, and multitasking skills.
- Ability to take initiative and manage multiple priorities.
Preferred:
- Experience in healthcare, pharmacy, or multi-location service industries.
- Familiarity with Cognition dashboards and internal communications.
