The Payroll Officer is responsible for supporting the accurate and timely delivery of payroll services for the company's employees based in the Philippines. Working as part of the Group Payroll team, the role ensures payroll transactions are processed in accordance with applicable Philippine statutory requirements, company policies, and payroll procedures. This role plays a key role in maintaining payroll accuracy, supporting employee and manager enquiries, processing payroll changes, and contributing to continuous improvement initiatives that enhance payroll efficiency and employee experience.

Payroll Processing

  • Support the preparation and processing of the Philippine payroll cycle in accordance with payroll schedules.
  • Process payroll transactions including new starters, terminations, salary changes, allowances, deductions, leave, and other payroll adjustments.
  • Calculate and process SSS, PhilHealth, Pag-IBIG/HDMF, withholding tax, and other applicable statutory requirements.
  • Review payroll data to ensure accuracy and compliance prior to payroll finalisation.
  • Assist with payroll reconciliations and validation activities.
  • Support the administration of timesheets and payroll-related records.

Payroll Administration

  • Maintain accurate employee payroll records and system data.
  • Process payroll documentation and ensure records are retained in accordance with company requirements.
  • Assist with payroll reporting and data analysis as required.
  • Respond to employee payroll queries and support the resolution of discrepancies.
  • Support payroll audits and compliance activities.

Compliance and Risk Management

  • Ensure payroll activities comply with applicable Philippine employment, taxation, social security, health insurance, housing fund, and other statutory requirements, as well as company policies.
  • Maintain confidentiality and security of payroll information.
  • Identify payroll discrepancies and support resolution activities.
  • Keep up to date with relevant payroll and statutory requirements.

Payroll Systems and Data Management

  • Maintain the accuracy and integrity of employee payroll data within payroll and HR systems.
  • Process payroll-related system updates, including employee changes, organisational updates, and payroll master data maintenance.
  • Support the Payroll Manager with payroll system testing, upgrades, and implementation of process improvements.
  • Generate and validate payroll reports to support payroll processing, compliance, reconciliation, and business requirements.
  • Identify data discrepancies and work collaboratively with relevant stakeholders to ensure timely resolution.
  • Contribute to the ongoing optimisation of payroll systems and processes to improve efficiency, accuracy, and employee experience.

Continuous Improvement

  • Contribute to improvements in payroll processes, systems, and controls.
  • Support payroll projects and system enhancements as required.
  • Participate in testing activities associated with payroll system upgrades and process changes.

Qualifications & Experience

  • 2+ years’ experience in a Payroll Officer or Payroll Administrator role.
  • Experience processing payroll in a medium to large organisation.
  • Strong understanding of payroll principles, processes, and controls.
  • High attention to detail and accuracy.
  • Strong administrative and organisational skills.
  • Intermediate Microsoft Excel skills and strong numerical capability.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet strict deadlines.
  • Experience supporting Philippine payroll processing and knowledge of Philippine payroll and statutory requirements.
  • Australian payroll experience is highly desirable but not essential.
  • Knowledge of Australian payroll, taxation, superannuation, and employment requirements is advantageous.
  • Experience using ADP payroll systems is desirable.
  • Experience working within a shared services or offshore support environment.
