JOB DESCRIPTION

  1. Handle Supplier Accreditation Process.
  2. Perform bidding with accredited suppliers to obtain bids on new or ongoing projects. Prepare cost analyses. Secure endorsement of the Procurement Manager for approval of Finance Controller for awarding of bid to winning supplier.
  3. Canvass from accredited suppliers to get best offers based on requirements of the internal customers.
  4. Evaluate offers from suppliers and negotiate for better prices with the same quality.
  5. Coordinate with other departments for the purchase of specialized materials, fixtures or equipment.
  6. Prepare Purchase Orders (POs) and contracts for endorsement to the Procurement Manager and approval by authorized Officers.
  7. Communicate with internal customers about order status, answer questions about products and services, and resolve issues as aligned with the Procurement Manager.
  8. Track orders and ensure timely delivery by accredited suppliers.
  9. Update internal databases with order details (dates, accredited suppliers, goods or services, quantities, discounts, etc.).
  10. Keep records of POs issued and shipments received.
  11. Liaise with warehouse staff to ensure all products arrive in good condition and follow up suppliers in case of delays in delivery.
  12. Report to the Procurement Manager issues concerning the procurement process for guidance and resolution.
  13. Ensure compliance with laws and regulations regarding procurement procedures and best practices.
  14. Other responsibilities related to the job as seen fit.
