We are seeking a detail-oriented and organized Production Management Specialist to join our team and oversee the production of various live/face-to-face events. This role requires an individual with strong project management skills, an eye for detail, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities:

Manage all aspects of event production and supplier coordination from planning through execution, ensuring everything runs smoothly, on time, and within budget.

Event Planning & Coordination:

  1. Collaborate with clients, internal teams, and external vendors to develop and execute production plans for events of various sizes and scopes.
  2. Oversee the logistics of pre-production, including budgeting, timeline management, and resource allocation.
  3. Coordinate all event-related elements, such as venue selection, technical setup (audio/visual), staging, lighting, collateral materials, etc.

Budget & Resource Management:

  1. Monitor the event production budget and ensure resources are allocated effectively and within budget constraints.
  2. Source and negotiate with suppliers, vendors, and venues to secure the best rates and service agreements.

Event Execution:

  1. Oversee all logistical aspects during event execution, including load-in, technical rehearsals, event day coordination, and load-out.
  2. Ensure all technical equipment is tested, operational, and set up according to event specifications.
  3. Ensure creative materials are produced following the brand guidelines and approved proofing.
  4. Act as the primary point of contact to the event organizers and event agencies during the event, troubleshooting any issues that arise and ensuring timely resolutions.
  5. Engage confidently with the event attendees and demonstrate in-depth product knowledge and expertise.
  6. Provide clear, accurate information to the attendees and address concerns with professionalism, promptly providing solutions or escalating as needed.

Post-Event Evaluation:

  1. Conduct post-event debriefings to assess performance, resolve any issues, and gather feedback.
  2. Compile and deliver post-event reports, including production costs, vendor performance, and recommendations for future improvements.

Qualifications:

Education & Experience:

  1. Bachelor's degree in Event Management, Production, Hospitality, or a related field is preferred.
  2. At least 2 years of experience in event production, project management, or a similar role in the live event industry.
  3. Proven track record of managing and executing small to large-scale events.

Skills:

  1. Strong organizational, multitasking, and time management skills, with the ability to manage multiple projects simultaneously.
  2. High attention to detail and problem-solving skills.
  3. Ability to thrive in fast-paced, high-pressure environments.
  4. Excellent verbal and written communication skills.
  5. Solid understanding of event production processes, technical requirements, and vendor management.
  6. Knowledge of A/V, lighting, and staging equipment, as well as an understanding of production schedules.
  7. Proficient in production software and tools (e.g., Sketch up, etc.) and Microsoft Office Suite.

Working Conditions:

  1. Remote; However, if there are events they are expected to report onsite to oversee production (ingress, implementation, egress, etc.)
  2. This position may require flexible hours, including evenings, weekends, and travel for on-site event management.
  3. Should be residing in Metro Manila.
