Tasks & Responsibilities Job Summary The Submission Clearance Specialist is responsible for processing, reviewing, and clearing insurance submissions within the Timby program. This includes prioritizing and logging new insurance applications, verifying information in the Origami system, assigning submissions to the correct underwriters, and ensuring all documentation is accurate and compliant with internal procedures. Key Responsibilities Inbox Management & Submission Prioritization Monitor the shared submissions inbox ( ) and process emails based on priority Oldest submission first unless marked as “RUSH.” Archive submissions when instructed by underwriters. Submission Clearance in Origami System Search the Origami system to check for existing accounts and prior submissions Compare DOT numbers and addresses to confirm account identity Identify and report duplicate or expired submissions to underwriters using pre-approved communication templates. Submission Logging and Setup Set up new submissions in the Origami system: Choose the appropriate line of business (MTC, CE, Warehouse Legal). Assign to appropriate underwriter based on type and size of submission. Select the appropriate carrier and admission status based on state and coverage. Coverage and Policy Details Review submission emails and attachments to determine requested coverage: Interpret common insurance abbreviations (MTC, APD, T.I.). Identify and input effective and expiration dates, US DOT numbers, and address info. Validate and enter organization structure and business description Communication & Coordination Notify underwriters of duplicate or expired submissions. Reach out to underwriters for missing or inconsistent information (e.g., DOT numbers, address mismatches). Follow instructions precisely when logging renewals, package policies, or ambiguous submissions. Data Management Accurately document all processed submissions. Move completed items to designated folders. Ensure that all submission data is accurately reflected in internal systems. Qualifications Education & Experience High school diploma or GED required; Associate’s degree or higher in Business, Insurance, or related field preferred. 1–3 years of experience in insurance operations, underwriting support, or administrative data entry roles. Technical Skills Proficiency with email platforms and shared inbox management. Experience with insurance systems such as Origami Risk or similar policy management tools (preferred). Strong understanding of insurance terms and coverage types (MTC, APD, Warehouse Legal). Comfortable working with structured forms, submission files, and database entry. Soft Skills & Competencies Detail-oriented with excellent organizational and documentation skills. Time management and ability to prioritize under tight deadlines. Strong communication skills (written and verbal) to coordinate with underwriters. Analytical mindset to verify matching details like DOT numbers and addresses. Self‑motivated and capable of working independently with minimal supervision. Adaptability in a fast‑paced, high‑volume environment. Preferred Knowledge (Nice‑to‑Have) Familiarity with insurance lines such as Inland Marine, Motor Truck Cargo, Contractor’s Equipment, Warehouse Legal Liability. Understanding of admitted vs. non‑admitted policies and state‑specific insurance regulations (e.g., FL, NJ surcharges).
