About the RoleThe Quality Assurance Administrator will be an integral part of the Quality team, providing diligent and proactive administrative support. Through meticulous management of consultant compliance, coordination of schedules, and pristine record-keeping across all company systems, this role is key to helping the team uphold the highest standards of quality.
What you’ll doAdministrative & System Management:
Monitor the quality intercom inbox, triage messages, and provide template responses to basic queries.
Handle administrative tasks for registration, including filing registration visits, home check calls, and theory calls.
Manage administrative processes for compliance visits by sending reports via intercom and uploading them to Airtable.
Check all registration and quality documentation, ensuring it is correctly stored on the shared drive, Airtable, Blocks, and other company systems in coordination with the customer operations team.
Upload the outcomes of all visits to the required systems.
Distribute all quality assurance (QA) visit reports.
Perform general quality administration tasks as needed.
Consultant Coordination & Compliance:
Support the onboarding process for new consultants.
Coordinate all consultant moderation visits according to established timeframes.
In liaison with the Senior Consultant, allocate registration and QA visits to consultants.
Liaise with the consultant team across agencies to coordinate their availability.
Ensure reports and evidence notes are filed within the correct timeframes.
Track and ensure all consultants submit their CPD logs on time.
Verify that all consultant DBS checks and evidence documents are current and maintained within set timeframes.
What You Bring
At least 3 years of experience in a professional administrative role, ideally with internal query handling.
Excellent written and verbal English, with the confidence to communicate professionally with internal and external stakeholders.
Exceptional attention to detail: meticulous, organized, and process-driven.
Tech-savviness: quick learner, comfortable navigating multiple systems, and able to optimize workflows.
Curiosity and situational awareness: ability to understand the context of tasks, spot irregularities, and anticipate needs.
Strong prioritization skills: capable of managing urgent requests while maintaining focus on long-term projects.
Professionalism and interpersonal skills: represent the organization with integrity and tact in all interactions.
