The Front Desk & Administrative Assistant serves as the first point of contact for visitors, clients, and stakeholders, ensuring a professional and welcoming experience. This role is responsible for managing reception operations, handling communications, and providing administrative support across various departments to ensure smooth day-to-day operations. Act as the company’s frontliner, greeting and welcoming visitors in a professional and friendly manner. Manage incoming calls, redirecting them to the appropriate personnel or department. Keep accurate records of visitors, appointments, and other relevant information. Maintain a tidy and organized reception area. Handle incoming and outgoing mail and packages. Provide administrative support to various departments as needed. Manage and schedule appointments, meetings, and conference rooms. Distribute internal and external communications in a timely manner. Assist in organizing and coordinating events or company functions. Monitor and maintain office supplies; place orders when necessary. Maintain and update contact lists, employee directories, and client databases. Assist in data entry, record-keeping, and filing tasks. Ensure confidentiality and security of sensitive company information. Relay messages and information accurately and promptly. Respond to inquiries and provide information in a clear and professional manner. Assist in the onboarding process of new employees. Maintain a regular posting schedule for the company’s Facebook/social media pages, ensuring content is updated and engaging. Perform other related duties as may be assigned from time to time. Bachelor’s degree or diploma in Business Administration, Office Management, or related field (preferred but not required). Proven experience in reception, administrative, or customer service roles is an advantage. Excellent communication and interpersonal skills. Strong organizational skills with keen attention to detail. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic social media management. Ability to multitask and work under pressure in a fast-paced environment. Professional appearance and demeanor.
