Responsibilities
  • Invoice Processing and Verification: Receive, review, and process vendor invoices for accuracy and proper documentation.
  • Verify invoice accuracy (vendor details, invoice number, amounts, tax rates).
  • Ensure invoices match purchase orders and receiving reports (three-way matching).
  • Ensure timely and accurate posting of AP transactions in the accounting system by applying proper GL coding and cost center allocation.
  • Payment Processing and Reconciliations: Prepare payment runs, ensure payments are approved according to internal control policies, send payment notification to vendors after payments are processed, record payments in the accounting system, reconcile vendor statements and resolve discrepancies or payment issues, reconcile accounts payable balances with general ledger balances.
  • Record Keeping: Maintain accurate records of invoices, payments, and vendor information; file and organize documents.
  • Month-End and Year-End Closing: Maintain fixed asset master data; perform fixed asset capitalization and disposal; prepare and post journal entries (e.g., accruals, depreciation, prepaid expenses); reconcile general ledger accounts and bank statements; support external statutory audits by providing requested documentation; maintain accurate and complete financial records in compliance with company policies and accounting standards.
  • Tax Compliance and Reporting: Act as the primary point of contact between the company and local tax authorities; communicate updates on tax issues and deadlines to Manila Office; ensure proper documentation and compliance with current tax laws and internal policies; assist with BIR tax assessments.
