Executive/Personal Assistant – Somewhere Manila, National Capital Region, Philippines Position: Executive/Personal Assistant (EA/PA) Work Hours: Full time, 8 hours/day, amenable to working EST business hours with at least 4 hours overlap in morning EST. He’s the Founder and Chief Innovation Officer of Fulcrum Collaborations, creator of MCIM — a cloud platform now used globally by leading data-center operators to manage reliability, maintenance, and compliance for mission‑critical infrastructure. After scaling MCIM from a concept to a multi-million-dollar SaaS success story and leading it through a majority private-equity acquisition in 2022, the client launched MCIM Labs, a dedicated R&D arm focused on next‑generation AI products like Intelligent Bulletins™ and Site Chief AI™. He’s known for combining deep technical vision, entrepreneurial rigor, and design thinking to create products that give organizations superhuman visibility into their operations. Duties and Responsibilities We are seeking a highly organized, tech‑savvy, proactive and trustworthy Executive/Personal Assistant to provide both professional and personal support to a founder and executive operating across multiple companies, real‑estate holdings, and a small private family office. This role requires exceptional attention to detail, sound judgment, and the ability to anticipate needs, manage competing priorities, and execute efficiently in a remote environment. This role is ideal for someone who is eager to grow beyond traditional EA responsibilities and develop into a long‑term strategic partner within the business. Responsibilities Executive & Calendar Management Manage complex calendars and scheduling across multiple time zones, ensuring alignment with strategic priorities. Plan and coordinate detailed itineraries; book travel (flights, hotels, cars, reservations) and prepare contingency plans for delays or last‑minute changes. Prepare meeting briefs and daily/weekly agendas summarizing key priorities, participants, and decision points. Track action items and proactively remind the executive of deadlines and follow‑ups. Communication & Information Management Triage executive inboxes, filter and prioritize communications, and draft or respond to select messages consistent with the executive’s voice and tone. Maintain structured documentation, shared folders, and contact directories for quick retrieval and continuity across projects. Liaise with internal teams, investors, and external partners to ensure smooth information flow and timely execution. Administrative, Financial, and Family Office Support Perform light bookkeeping and administrative tasks across real estate assets, investments, and family‑office accounts (via Monarch.com and related systems). Manage expenses, reimbursements, and invoices; maintain transaction records and assist in financial reconciliations. Track renewals, licenses, insurance, and entity compliance dates across multiple LLCs and holdings. Coordinate with accountants, attorneys, and advisors to assemble and organize materials for filings or meetings. Vendor, Project, and Property Coordination Interact with contractors and vendors; solicit bids, compare proposals, and oversee service quality. Handle personal errands such as gifting, reservations, vendor scheduling, and payments. Support light project management for ongoing initiatives (property upgrades, family projects, and business pilots), ensuring milestones are tracked and deliverables met. Research & Systems Support Conduct comparative research (vendors, products, travel, investments, or market data) and present concise summaries with recommendations. Manage digital tools and workspaces (Google Workspace, Monarch, ChatGPT, etc.); develop and maintain templates for repeatable workflows. Suggest process improvements to streamline operations and enhance executive productivity. Confidentiality & Discretion Handle all personal, financial, and business matters with strict confidentiality. Exercise sound judgment and professional maturity in all communications and decisions. Minimum Requirements Language requirement: Excellent English Communication Skills. Education: Bachelor’s Degree (ideally). Experience: 3+ years of related experience. Qualifications & Ideal Candidate 3-5 years of professional experience as an EA, PA, or project manager. Strong organizational, scheduling, and time management skills. Comfortable talking to executives/clients/stakeholders over the phone/video call. Experience in bookkeeping, expense tracking, and vendor management (Monarch.com experience is a plus). Proactive communicator with excellent written and verbal communication skills. Discreet, trustworthy, and capable of handling sensitive personal and financial information. Demonstrated ability to manage multiple priorities with attention to detail. Growth mindset: eager to learn, adaptable, and open to taking on broader responsibilities over time. Collaborative attitude: not rigid or resistant to change, but enthusiastic about evolving with the role as the company grows. Proven ability to handle highly sensitive information with discretion, confidentiality, and integrity.
