Overview We’re hiring a reliable, systems-oriented virtual Executive Assistant to help run a growing creator business and personal operations. Working Hours: Full-time, 11AM-7PM EST Key Responsibilities Operations: Ensuring smooth day-to-day operations through scheduling, project coordination. Includes maintaining organized inboxes and calendars, handling social media and email correspondence, and managing meetings through updated scheduling systems. Coordinating with editors and contractors, organizing digital files, documenting SOPs, and managing content delivery to ensure quality and timeliness. Conducting research and maintaining clear, efficient systems in Notion and other cloud tools. Marketing, Sales, Growth: Support content and audience growth through newsletters, LinkedIn posts, and consistent social media visibility. Responsibilities include planning and automating content distribution, engaging with followers on YouTube and Instagram, and managing lead generation efforts. The role also involves creating or refining PowerPoint decks for sales and partnership opportunities, while leveraging AI and automation tools to streamline recurring marketing workflows. Some personal assistance: manage travel bookings — flights, hotels, and transportation, schedule and automate meal deliveries and house-cleaning services, assist with personal purchases or errands as needed, track and schedule personal events (e.g., date nights, invitations) in coordination with professional obligations. Light finance: Expense tracking and management, bookkeeping in QuickBooks, categorizing transactions (business vs. personal) based on calendar context and existing rules Light Recruiting: Recruit and onboard contractors, train or guide team members on established SOPs and operational processes. Must-Haves 2+ years as an EA/Operations Associate, ideally supporting an influencer/creator/founder or small team. Demonstrated EA skills: inbox management at scale and strong written communication (clear, concise, on‑voice), project coordination/management experience coordinating with contracts and moving projects to done, proven file organization skills across cloud drives and note systems (iCloud/Drive/Notion). Working knowledge of QuickBooks for maintenance and categorization. High discretion and professional judgment handling sensitive information. Proficiency with the other ff tools: Notion, Gmail, iCloud, Instagram, LinkedIn; generally comfortable learning new tools quickly. MacOS user (preferred) or proven fluency working within Apple/iCloud environments. Qualities: Reliable and smart, proactive thinker, not just a doer, excited to help, organized and detail-oriented, tech-comfortable Nice-to-Haves Familiarity with the creator economy and brand/sponsorship workflows. Light analytics/reporting skills (e.g., building a simple monthly revenue snapshot from provided data).
