Responsibilities
  • Duty 1: Invoice/Expense Processing — Enters approved expense claims and invoices into the accounting system; performs data validation to ensure data consistency; validates purchase order requirements (2-way, 3-way, 4-way match) and encodes invoice details into the system; analyzes and provides input for exception items during invoice matching; matches aged unvouchered purchase orders as instructed by counterparts; implements non-standard corrective actions based on resolutions provided for escalated or resolved aged items; performs Automatic Invoice Matching (AIM) and analyzes data for exception reports.
  • Duty 2: Issue/Exception Items Resolution — Researches and investigates to clear disputed invoices; creates follow-ups to secure approvals from Buyers, BU Approvers per Delegation of Authority, Site Finance, Suppliers, and others; issues credit or debit notes as needed; performs progress tracking and provides recommendations; maintains issue control in SharePoint; analyzes dispute requirements and provides recommendations; supports internal controls and reconciliations.
  • Duty 3: Reports, Reconciliation and Month End Closing — Analyzes discrepancies and resolves Quick Invoices and aged items across AP reports; prepares AP reports and distributes to counterparts; troubleshoots system hold issues; clears dashboards and reconciles subledger and ledger; coordinates intercompany adjustments and journals as needed.
  • Duty 4: Release of On Hold Items / Resolve Invoices with Issues — Assesses and recommends ways to reduce errors; decides whether an exception item can be released; provides internal control inputs; conducts risk analysis and implements approved actions; coordinates with buyers and vendors to resolve disputes.
  • Duty 5: Team Support and Development — Provides guidance to assigned processors and assists the Team Lead.
