Overview

Design, build, or maintain websites using clients’ website platforms (WordPress, Wix, Squarespace, and other drag-and-drop systems), content creation tools, management tools, and digital media. Perform or direct website updates and contribute to content creation and editing. Collaborate with management or development teams to prioritize needs, resolve conflicts, develop content criteria, and choose solutions.

Responsibilities

• Design, build, or maintain websites using client platforms (WordPress, Wix, Squarespace, and other drag-and-drop systems) and digital media
• Perform or direct website updates
• Write, design, or edit web page content or direct others to produce content
• Confer with management or development teams to prioritize needs and resolve conflicts
• Back up website files for recovery in case of problems
• Identify and correct problems uncovered by testing or customer feedback
• Evaluate code for validity, structure, and compatibility with browsers and devices
• Maintain current web technologies knowledge through continuing education or professional activities
• Analyze user needs to determine technical requirements
• Develop or validate test routines and schedules to cover browser and device types
• Manage, integrate, or migrate domain name registrations on various platforms
• Collaborate with management to develop e-commerce strategies and integrate with websites
• Communicate with hosting providers to address hardware or software issues affecting sites

Qualifications

• Familiar with hosting sites
• Experience with WordPress, Wix, Squarespace, and other website-building platforms
• Knowledgeable with plug-ins and integrations
• Preferably able to code (JavaScript, PHP, CSS, HTML)
• Experience with Figma for website design
• Kajabi experience is a plus
• Front-end and/or back-end capabilities
• Can work part-time EST hours
• Excellent English communication skills (spoken and written)

Job Title: Executive Virtual Assistant – Bookkeeping & Project Coordination (Real Estate & Construction Focus)

Overview

The Executive Virtual Assistant will be a dedicated, part-time team member responsible for bookkeeping, construction project coordination, and general administrative support. The ideal candidate is proactive, detail-oriented, and highly organized—with strong experience in QuickBooks, construction software (e.g., Build-A-Trend or similar), and administrative tools. This individual should be able to work independently while supporting multiple workstreams.

Key Responsibilities

• Bookkeeping & Finance
  • Maintain accurate financial records using QuickBooks
  • Handle monthly reconciliations, expense categorization, and invoice management
  • Track accounts payable/receivable
  • Prepare reports for leadership review
• Project Management Support
  • Use construction or property management software (e.g., Build-A-Trend) to assist with project updates, timelines, and documentation
  • Support coordination with contractors, vendors, and internal stakeholders
  • Track project budgets and deadlines
• Administrative Tasks
  • Manage email and calendar scheduling across multiple time zones
  • Coordinate travel arrangements and itineraries
  • Assist in file organization, SOP creation, and task tracking
  • Provide light social media support and content scheduling (as needed)
• Cross-Business Support
  • Potentially support light admin/bookkeeping tasks for an additional service-based business
  • Adapt to shifting priorities between multiple workstreams with professionalism

Qualifications

• Strong QuickBooks knowledge; experience with construction or service industry accounting is a plus
• Familiarity with project management platforms like Build-A-Trend, Monday.com, Asana, or similar
• Excellent written and verbal English communication skills
• Highly organized, detail-oriented, and able to manage multiple priorities
• Strong work ethic aligned with Filipino cultural values of integrity and reliability
• College degree preferred
