Site Solutions Analyst

Your Role

Key responsibilities include:

• Initial site communication, collection, validation, and upload of required documents within proprietary software systems.
• Management of pass-through payments and ensuring site satisfaction.
• Data interpretation and implementation of Clinical Trial contracts with CROs, clinical sites, and investigators.
• Control and oversight of the master site list, including set-up of site payee details, payment terms, budgets, and amendments upon receipt of documentation.
• Ongoing site communication throughout the project lifecycle, ensuring accurate and timely pass-through payments.
• Support for start-up, maintenance, and study closeout phases of payment service delivery.
• Identification and communication of process improvement opportunities to the immediate supervisor.
• Establishment of contract records to support timely and accurate payments within the terms of signed Statements of Work (SOW) with Sponsors.
• Coordination with designated Client Service Leads to support achievement of contractual commitments from study initiation through closeout.
• Maintenance of the master site list for assigned clinical trials, ensuring receipt of all setup documents (e.g., Payment Intake Form, W9, executed Clinical Trial Agreement, Amendments).
• Posting of CTAs, PIFs, W9s, W8s, or other contract-related documents to the site contract record.
• Set-up of initial CTA visit and reimbursable budgets.
• Payment processing and site customer service for assigned Sponsors and studies.
• Ownership, opening, monitoring, and resolution of cases and site communications.
• Timely resolution of issues raised by clinical trial sites via email and/or phone, ensuring support at IQVIA’s levels of excellence.
• Ensuring SSAE18 compliance where appropriate.
• Peer review of all vendor and budget set-ups for accuracy as defined by SSAE18 policies and procedures.
• Processing of site contact, Principal Investigator, tax ID, payee, name, address, or banking change requests in compliance with SSAE18 policies and procedures.
• Opening, managing, and closing site administrative trackers.
• Final closeout site communication and reconciliation of all pass-through payments before study closeout.
• Preparation of project-specific status updates for Client Service Leads and participation in Sponsor calls as needed.
• Reporting on Site Solutions-specific deliverables processed outside of IQVIA’s established thresholds during Sponsor Governance Meetings.
• Acting as an escalation point for open site-specific issues.
• Other duties as assigned.

The ideal candidate will have:

• 0–2 years of prior relevant experience.
• Bachelor’s Degree in Business Administration, Finance, Accounting, Project Management, or a health-related field preferred, or an equivalent combination of education, training, and customer service experience that provides the knowledge, skills, and abilities to perform the job.
