Your role ensures every project runs efficiently and meets company standards from project start up, ongoing projects, up until project closeout. YOUR IMPACT STARTS HERE Project Start Up Review contract agreements, scope of work, project drawings, schedules, and logistics plans. Coordinate pre‑project documentation submissions (e.g., certificates of insurance, signed contracts, submittals, samples, and bonds). Organize and schedule internal kick‑off meetings with the Foremen and Project Management Team. Ongoing Projects Maintain and update project logs (RFI, Submittal, ASI, SK, and Drawing Logs); escalate pending items to relevant team members. Review daily reports, weekly site photos, and safety documentation for completeness. Manage electronic document filing and coding using the appropriate job numbers. Ensure contracts, insurance, and bonds are current and filed properly. Assist the Project Manager (PM) in preparing and distributing meeting minutes, short interval schedules, and change orders. Create and distribute Internal and Subcontractor Change Orders (CORs). Communicate directly with clients regarding project updates and document requirements. Upload and organize project drawings and specifications in Procore and company servers. Project Closeout Prepare and issue Warranty Letters with accurate completion details. Coordinate with suppliers and foremen for delivery of attic stock and final project requirements. Maintain standardized templates and ensure all closeout documents are complete and properly archived. IDEAL CANDIDATE PROFILE At least 3 years of experience in a similar Project Coordinator role. Strong organizational skills with the ability to multitask, prioritize, and maintain high attention to detail in a fast‑paced environment. Proficient in Microsoft Office Suite and Smartsheet. Experience with Procore or similar project management tools is an advantage. Excellent verbal and written communication skills, capable of confidently engaging with senior leaders and external stakeholders. Familiarity with scheduling tools and processes for managing complex calendars and coordinating meetings.
