Overview Project Staff | Ateneo Center for English Language Teaching at Ateneo de Manila University Join to apply for the Project Staff role at Ateneo de Manila University. Responsibilities Center Management Support: Attends office-related matter meetings; manages incoming and outgoing inquiries from various communication channels and directs them to the appropriate employees; documents meetings; keeps systematic filing of records by filing activities in an orderly manner; collates all financial documents for the annual budget; encodes, keeps records, and maintains files of the office expenses and petty cash disbursement ensuring that supporting documents are always in place; prepares turnover report to the cashiers for issuance of invoices; reviews with the ED the annual activities report vis-à-vis financial status; prepares petty cash disbursements, reimbursements, and liquidation reports; processes payment of all office expenses and orders through the Central Purchasing Request System and Electronic Purchase Requisition System, following up with pertinent offices and keeping an e-record of daily transactions. Program Management and Implementation: Monitors programs approved for implementation; attends to administrative and logistical requirements of conferences, workshops, and other events; handles logistics including room reservations, equipment, online learning facilities, and coordination with University offices; prepares honorarium for facilitators; prepares certificates of participation; reserves accommodations and transportation and purchases plane tickets for facilitators and staff for out-of-town seminars/conferences; prepares final participant lists for facilitators; monitors year-round deposits from clients via the ADMU gateway payment system. Attends to Publication Requirements: Follows up communications with other offices regarding subscription and mailing of publications; coordinates with artists regarding quotations, design and payments for publication production; attends to sending out publications. Attends to Teacher’s Club (TC) Requirements: Informs members of discounted or free lectures/seminars; coordinates with the British Council Programs Officer regarding training offerings and related transactions; handles important communications from the British Council Programs Officer; assists TC members in accessing the ELT Books collection; manages membership identification cards for TC members; assists members with textbooks access. PRC-CPD Accreditation Support: Acts as point of contact for requirements of the Professional Regulation Commission on Continuing Professional Development as an accredited provider; assists the Executive Director in gathering documents for program accreditation; coordinates with the Office of the Vice President for Finance and Treasurer for legal documents; prepares and keeps confidential legal documents for notarization and stamping.
