Job Description Crew Accommodations AgentCorpay – Airline Division (TA CONNECTIONS)
The Crew Accommodations Agent is responsible for managing and resolving hotel and ground transportation booking activities for our client’s crew members. This role primarily receives booking requests through proprietary systems, along with inquiries via email, chat, and phone. The Agent coordinates resolutions with vendors by strictly following Standard Operating Procedures.
Agents will interact with airline crew scheduling, hotel desk departments, and hotel/transportation vendors to address issues and last-minute challenges. During massive irregular operations, this role requires extended hours under pressure to ensure timely crew rest and prevent flight delays or cancellations.
Book hotel accommodations for flight attendants, pilot crews, ad-hoc crews, and other non-crew airline employees.
Handle emergency last-minute crew relocations in coordination with the shift supervisor.
Collaborate with the client’s Crew Scheduling and related departments to fulfill operational requirements.
Communicate with internal departments and management to resolve issues and expedite tasks.
Monitor access to tools, systems, and resources, and report issues to shift supervisors.
Utilize technology effectively to process, track, and report transactions.
Accurately record all reservation information, agreements, approvals, and relevant data in TA Connections systems.
Source suitable and compliant hotels in markets without contracted properties or when contracted hotels are sold out.
Follow approval processes and maintain records when only non-compliant options are available.
Process vendor payments according to system settings and contractual terms.
Maintain a positive, respectful, and professional work environment with a “can-do” attitude.
Report incidents formally to TA Connections supervisors or HR partners.
Adhere to company policies regarding attendance, punctuality, and work breaks.
Support Account Management, IT, Billing, and Collections teams with data, research, and troubleshooting.
Participate in special projects and perform other duties as assigned.
Job RequirementsExcellent interpersonal and client relationship skills.
Strong organizational and multi-tasking abilities.
Effective writing, communication, and negotiation skills.
Ability to work independently and collaboratively as part of a team.
Comfortable interacting with clients and partners electronically and via telephone.
Familiarity with hotel sourcing, rate negotiation, and market/contractual requirements.
Strong PC skills with proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
Flexibility to work shifts, extended hours, and adapt schedules during irregular operations.
Reliable high-speed internet connection (100 Mbps or higher) and a quiet home workspace.
QualificationsHigh school diploma or GED required (some college education preferred).
Fluency in English required; additional languages (Japanese, Italian, German, French, Spanish, Portuguese) are a plus.
Experience in the hotel/travel industry preferred but not required.
Customer service or call center experience preferred but not required.
