Overview

Zigzag is looking for a Financial Planning Administrator to join our team

Role Purpose:

This role is responsible for the provision of high level administrative support to the Advice Team, Administration Team.

Key Responsibilities
  • Data Entry/CRM

    • Maintain CRM projects to ensure that all activities are being completed in a timely fashion and by the due dates.

    • Data Entry of information.

    • Assist with requesting insurance quotes and subsequent follow up.

    • Ensure notes are entered into CRM to record any updates to activities.

    • CRM projects are up to date with no outstanding items.

    • Data has been entered correctly into the system.

    • Notes are recorded to CRM accurately and in a timely manner.

  • Policy Calls and Account Run Downs

    • Conduct policy calls and update paraplanning and client files.

    • Conduct account run downs prior to preparation of annual progress updates or where required post annual progress updates.

    • Ensure preparation of policy calls is completed within business expectations.

  • Annual Progress Updates

    • Preparation of annual progress updates for the Advice team, including file setup, updating of system and client files.

    • Ensuring preparation of APUs is completed within expected business expectations.

  • Licensee & Business Standards

    • Ensure that CRM is managed and maintained to a high standard with projects being managed efficiently.

    • Understanding of Your Future and how this is entered into the system.

    • CRM threads are created per processes and completed tasks assigned are closed out.

    • Updating of information in the system from My Future is of a high standard and per licensee requirements.

  • Risk

    • Follows detailed procedures and ensures accuracy in documentation and data.

    • Proactively manage risk, meeting all policy and compliance requirements; perform controls (BID), adhere to process and procedures as detailed by the Licensee and relevant to your role, escalate events, issues or breaches as they are identified (risk accountability forms part of all roles, as everyone is responsible for managing risk and compliance).

    • Processes are followed and documented.

  • Systems

    • High level understanding of paraplanning systems and tools.

    • High level understanding of the data flow between our client’s programs/tools.

    • Participate in development discussions/testing.

    • Demonstrated ability to source information as required.

    • Generate accurate projections.

    • Generate high quality advice documents using IFF.

  • Isiplan

    • IsiPlan – Numeracy.

    • Update the Asset Allocation tab.

    • Update Risk Tab.

    • Check the inputs and outputs in Isiplan per the above.

    • Data input of information in IsiPlan when required into IFF.

  • Key Relationships / Interactions

    • Internal

      • Advisers, follow up confirmation of outstanding information or requests for APUs and policy calls, alongside confirmation of completions.

      • Peers, collaborating with and learning from, supporting team members in delivering outcomes.

      • Paraplanning Manager, daily to discuss workflow and outstanding requirements for completion of tasks by due dates.

    • External:

      • Superannuation and Investment Platforms, insurance providers, liaising with product providers to obtain updated information.

Knowledge/Qualifications/Skills
  • Experience

    • At least 1 year financial planning industry experience.

    • At least 2 year customers service experience.

    • Strong understanding of the financial planning industry in Australia.
