Overview
We are seeking a detail-oriented Accounts and Administration Officer to join our team. In this role, you will manage accounts payable processes, including supplier invoicing, purchase order matching, payment runs, and reconciliations. You will also oversee daily and monthly fuel and stock reconciliations, ensuring accuracy across deliveries, sales, and inventory records. Alongside finance responsibilities, you will provide administrative support across operational teams, assist with month-end reporting, and maintain compliance with company policies. Responsibilities- Process supplier invoices accurately and in a timely manner.
- Match purchase orders, invoices, and delivery documentation.
- Prepare payment runs and reconcile supplier accounts.
- Maintain vendor records and respond to supplier queries.
- Conduct daily and monthly fuel reconciliations, ensuring accuracy between deliveries, sales, and stock records.
- Perform stock reconciliations, identifying discrepancies and preparing exception reports.
- Assist with general ledger reconciliations and month-end close processes.
- Support general office administration tasks, including record-keeping, filing, and data entry.
- Assist management with ad hoc reporting and analysis.
- Provide administrative support across operational teams as required.
- Ensure compliance with company policies and procedures.
- Other role-specific duties as they arise.
- Bachelor’s degree or diploma in Accounting, Business Administration, or a related field.
- Minimum 3+ years’ experience in accounts payable, accounting support, or administration.
- Strong Excel skills (data manipulation, reconciliations, reporting).
- Experience working with accounting software (any platform; training provided for internal system).
- Familiarity with stock or fuel reconciliations advantageous.
- High attention to detail and accuracy in financial processing.
- Strong organisational and time management skills.
- Ability to learn new systems quickly and adapt to varied responsibilities.
- Reliable, responsible, and committed to delivering accurate work.
- Flexible and adaptable, comfortable handling both finance and general admin duties.
- Proactive problem-solver with a practical approach to reconciliations and reporting.
- Strong communication skills and a team-focused mindset.
- Positive attitude and willingness to learn new systems and processes.
- Work from home
- Monday to Friday 7:00AM – 4:00PM PHT (adjustments will be made for daylight saving time)
