Sales Operations Specialist

Job Overview:
We’re seeking a highly organized, detail-oriented Sales Operations Specialist to support our customer, sales, and product operations. You will work closely with our sales, product, and customer support teams.
You will help keep our CRM updated, screen and process new customer inquiries, manage customer data, support light product inquiries, and assist with lead generation and reporting.
Core Responsibilities:
1. CRM & Customer Data Management
- Maintain and update customer records across CRM (NetSuite) and Shopify
- Perform routine data hygiene (duplicates, missing fields, formatting, accuracy checks)
- Tag accounts correctly (B2B opportunity tiers, price lists, status changes)
- Assist with onboarding new companies/locations and managing user access
2. Account Setup & Customer Processing
- Process new trade/customer program signups, validate business details, and assign the correct tags/discount structure
- Assist with lead routing, status updates, and follow-up flags
- Coordinate with sales reps on customer notes, documentation, and account completeness
3. Reporting & Admin Support
- Build and maintain simple weekly reports (signups, activity logs, follow-up status, data completeness)
- Pull data for sales and product leadership when requested
- Help maintain product spreadsheets, pricing files, or basic catalog data updates
4. Lead Generation & Research
- Identify prospective B2B accounts (builders, contractors, designers, landscapers)
- Populate lead lists with accurate contact info
- Track outreach status and results in the CRM
- Conduct light market or vendor research as needed
5. Customer Assistance (Entry-Level Product Support)
- Respond to tier-0/tier-1 customer questions (basic specs, warranty info, order status checks)
- Serve as backup phone support for the sales team by:
- answering inbound calls
- providing basic product/process information
- capturing and relaying messages accurately
- Triage complex requests to the sales team
- Communicate clearly and professionally in alignment with brand standards
6. Other Duties as Assigned
- Support internal teams with administrative or operations tasks as needed
Requirements
- 1–3 years experience in CRM management, administrative support, e-commerce operations, or customer service
- Strong written and spoken English communication
- Highly organized, detail-oriented, and self-motivated
- Comfortable working with spreadsheets (Google Sheets / Excel)
- Ability to learn new systems quickly (Shopify, NetSuite, Gorgias, CRM platforms)
- Reliable internet connection and consistent availability
- Preferred Skills
- Experience supporting B2B customers or sales operations
- Background in e-commerce or product catalog management
- Familiarity with CRM workflows and sales pipeline tracking
