Key Areas Of Accountability:

Assist the Associate Marketing Director and Adult Marketing Team with the administrative aspect of marketing programs implementation such as:

  • Help in Marketing Program Documentation and Budgetary Approval:
  • Workplan/CE routing
  • PTURT/RBE/PR-PO/Bid Waiver
  • PO release to suppliers
    • Help in Marketing Program Budget Monitoring and Invoice Processing:
      • Monthly Expense Tracking and Accrual Submission to Finance (together with SPMs/MMs)
      • Invoice Processing (Receiving, System Processing, CFS submission & tracking, Payment / Cheque monitoring)
    • Assist in Materials Deployment and Production
      • RFMI/Sharepoint
      • A/R Consolidation and Monitoring
Assist in the development / implementation of select Marketing Programs, particularly Direct-to-Consumer programs, examples:

  • National Promo Packs: assist in coordination with suppliers, procurement, cross functional team for materials quotation/ordering/delivery; system set-up of material codes / barcodes; together with SPM, consolidate requirements for promo toolkits
  • New Product Initiatives: assist in internal cross functional coordination for product set-up requirements – item master list /material codes/barcodes, consolidate of NPI toolkit requirements such as product shots, packaging shots, price lists, and trade letters

Attend to the general administrative requirements of the AMD & Marketing Team in case of travel / events

  • Hotel, travel & transport requirements
  • Coordination of team meeting including venue selection, catering and general management.
  • General communication to the Adult Marketing team eg special events, deadlines etc
  • Coordination of all regional and international visitors/visits.
  • Checking that the team's expenses are within local SOP and documentation is complete prior to submission the Marketing Director / Finance

General Administration Duties Including:

  • Coordination and administration of marketing documentation to ensure correct routing of signatories and adherence to SOP.
  • Hotel and travel booking of Adult Nutrition team.
  • Coordination of documentation to ensure compliance to SOPS's including routing and signature approvals for online and manual request. Documents include:
    • Request to purchase
    • Professional Service Agreements
    • CDPA (concept, development & printing approval)
    • Vendor set up processing
    • Vaporizer request processing
    • Accounts payable
    • Request for Business Expense
    • Business Travel Request
  • Administration and processing of Request for Business Expense (RBE)
  • Administration and processing of Samples Request (SR) and Business Travel Request (BTR).
  • Administration of purchase request for promotional materials, advertising contracts, office supplies etc.
General finance administration

  • Monitor sales operational expenses; provide monthly expenses accruals & administration of documentation.
