Procurement & Logistics Officer

About the Role:

The Procurement & Logistics Officer will be responsible for ensuring adherence to our purchase-to-pay process, coordinating with division leaders to ensure timely procurement and logistics requests. This role requires a strong network of contacts, including offices and suppliers, and the ability to identify potential vendors and maintain supplier relations.

Ideal Candidate:
  • Procurement experience: Minimum 5 years of experience performing procurement and logistics tasks
  • Supplier management: Identify potential vendors, carry out prequalification of suppliers, and maintain supplier panel/database
  • Liaison and communication: Liaise with suppliers, maintain and build supplier relations, process invoices, and ensure on-time payment
  • Quality control: Ensure regular checks on supplier quality control and periodic evaluation of suppliers' performance
  • Problem-solving: Resolve vendor or contractor grievances and claims against suppliers
  • Procurement requests: Initiate, follow up, and track procurement requests using the right procedures in compliance with the P2P process
  • Purchase orders: Prepare purchase orders (IT equipment, supplies, client gifts), book flights and hotels
  • Inventory management: Maintain records of items ordered and received, ensure proper storage and transportation of goods to requested destinations
  • Reporting and analysis: Prepare monthly, quarterly/annual procurement plans and reports
  • Policy development: Develop new procurement policies and procedures, and conduct regular reviews of existing ones
  • Financial management: Control business operations petty cash and report it accurately and timely to accounting
  • Transportation management: Manage transportation requests (client visits, etc)
Key Skills:
  • Communication: Excellent verbal and written skills
  • Organizing and planning: Ability to carry out tasks within the schedule
  • Resilience: Ability to manage pressure, different personalities, and dealing with various leaders
  • Data analysis: Ability to effectively analyze data to support effective procurement planning
Technical Skills:
  • Procurement tools: Experience with using procurement tools (TradeGecko, Precoro, SAP), Xero for PO creation, and HubSpot is a plus
  • Cost-benefit analysis: Experience in creating and presenting cost-benefit analysis
  • Excel skills: Intermediate Excel knowledge
  • Supplier contract components: Savvy in supplier contract components
