KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:

IMPORTATION

Assist logistics coordinators coordination with broker, BOC, foreign suppliers and forwardersCoordinate with entity for compliance of Application and Renewal requirements for BOC-CORAssure budget is allocated or confirmed by entity prior awarding any cost related serviceEnsure coordination to PH agencies for any importation-related documentsConsolidation of loading plans and facilitate its importation.Assessment of importation costRisk assessmentAssessment and recommendation of the applicable insurance policiesDELIVERY/SHIPMENTProvide technical expertise on shipment of Imported goods.Responsible on strategically planning, managing logistics, transportation, and
customer servicesResponsible on recommending options on routes and shipmentsAble to identify different shipments and payment conditions in the domestic
and international marketAble to identify the risks in the shipment strategies proposed to the groupAbility to adjust to the needs of the department and end-users in getting items
on site in a timely and cost efficient mannerRecommend consolidation strategies to the canvassing teamLiaise between internal and external clients on the status of the deliveriesEnsure all documentary requirements and licenses of the company are complete to be able to freely move items from both domestic and international sourcesTo be able to provide the company with additional savings through proper shipment, consolidation, and payment recommendationsValidate clarifications on items proper flow of materialsProvide schedules, loading plans and resolution on logistics related issues and urgent mattersMonitor the status of deliveries and paymentEstablish evaluation process before, during and after delivery (QA/QC)Able to analyze past data/trends and be able to provide the company with
additional savingsEnsure delivery of suppliers in accordance to SLA and/or purchase planObtain GRN after delivery and address any Non-conformance reportLogistics monitoring files shall be updated on timely manner and should be accurate at all timesCANVASSINGEnsures that the purchase orders and related documents regarding the order are receivedAssist canvassers on resolving logistics-related issuesCompliance on the monitoring files related to buying/ canvassingSTRATEGIC PLANNINGUnderstanding the nature of import logisticsTaking part on special projects and business improvement initiatives for the team Strategic Planning and Assessment of the Delivery processORGANIZATIONAL LEADERSHIPDevelop, streamline, and manage the policies, procedures, standards, and strategies in order to ensure process transparency, fairness, impartiality, and confidentialityEnsure team projects and deliverables are completed on timeProvide assistance to inquiries, complaints, and requests regarding to import activitiesPlan, organize, direct, manage, and evaluate the import logistics activities of the team being handledConstruct strategies and initiatives that are aligned with the overall direction of the department for the team being handledSupports and explains reasoning for decisions when appropriateSets clear work unit policies and proceduresManages workflow and adjust when necessaryPerform and/or direct day to day administrative tasksMaintain current technical skills and apply new knowledge to management tasks for the improvement of purchasing activitiesPERSONNEL MANAGEMENTCoach and mentor employees and ensure that they achieve their KPAs, KPIs and development plans.Lead and inspire a team of professionals within the logistics functionFoster a collaborative and results-oriented team cultureEnsure that the team observes the HR policies in their daily activitiesProvides regular performance feedback, develops subordinates skills, and encourages growthPAYMENTSAssist on the follow up of payments-related documentsAssist on resolving payments-related issues and concernsCompliance on the monitoring files related to logisticsTo be able to maintain a healthy list of service providers to the group needsSecure accreditation requirements from new vendors and endorse the same to the accreditation committeeEvaluates service providers for the purpose of determining their capability to serve the requirementsPrepare reports such as cost analysis, item status and monitoring, and others relevant to SCM initiatives for presentation to managementEnsure proper transmittal of documentsCoordinate meetings with suppliersKeeping files and records for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelinesAssist SCM Manager in preparing reports such as delivery status and monitoring, and others relevant to SCMEncode data for reports to be used by the SCM ManagerEnsure that purchasing processes are done legally and ethicallyPURCHASE PLANCoordination with the end-users regarding the schedule of requirements and identify the needed itemsParticipation in the conceptualization discussion of the end-users to determine the delivery feasibility of the requirements and provide suggestions / alternatives
