We are looking for a reliable and detail-oriented Office Staff member to join our team. This role primarily involves processing sales orders, invoicing, and supporting sales staff and other company departments.

Key Responsibilities:

  • Sales Order Processing: Accurately enter and process sales orders into the company's system.
  • Invoicing: Generate and send invoices to customers, following up on any discrepancies or issues.
  • Customer Communication: Respond to customer inquiries regarding orders, invoices, and payments.
  • Sales Support: Act as a liaison between the sales team and other departments, providing administrative support and coordinating order details.
  • Data Entry & Record Keeping: Maintain accurate records of sales orders, customer accounts, and invoices.
  • Cross-Department Coordination: Collaborate with operations, finance, and logistics teams to ensure smooth order fulfillment.
  • Follow-up on Orders: Monitor the status of sales orders and communicate any delays or issues to sales staff and customers.
  • Documentation Management: Organize and file all necessary documentation related to sales orders, payments, and customer accounts.
  • Issue Resolution: Address and resolve discrepancies related to orders, payments, or invoicing.

Qualifications:

  • Education: Bachelor's degree in any field, business administration or accounting is a plus.
  • Experience: 1-2 years of experience in an office environment, preferably in sales order processing or administrative roles.
  • Computer Skills: Proficient in Microsoft Office and experience with ERP systems or order management software.
  • Organizational Skills: Strong organizational abilities with attention to detail and accuracy in data entry and record keeping.
  • Communication Skills: Excellent verbal and written communication skills.
  • Problem-Solving: Ability to troubleshoot and resolve order or invoicing discrepancies quickly and efficiently.
  • Multitasking Ability: Comfortable handling multiple tasks and shifting priorities in a busy office environment.
