Job Title: Invoice Processing Specialist

Join our team as an Invoice Processing Specialist and play a critical role in supporting the Velocity Invoice Processing service. As a key member of our operations team, you will be responsible for ensuring the smooth processing of invoices and providing exceptional customer service to our clients.

Job Summary

The successful candidate will be responsible for performing general duties including quality control alert resolution, data entry into the VES invoice processing system, generating client reports, resolving client inquiries, and assisting with new client implementations.

Key Responsibilities
  • Resolve quality control trigger alert types that impact customer financial performance within specified timeframes.
  • Coordinate work with clients and vendors or internal departments to ensure seamless operations.
  • Handle client escalations related to quality control issues.
  • Review data inputs for accuracy and completeness.
  • Maintain and update vendor accounts as needed.
  • Key invoices into the invoice processing application daily.
  • Research and answer client questions.
  • Assist the invoice processor with resolving client issues and inquiries.
  • Assist with VES setup for new invoice processing clients.
  • Train new employees.
Requirements
  • Minimum 1 year experience in the Velocity Invoice Processing Department or a billing or financial service role.
  • High school diploma or equivalent required; some college-level accounting preferred.
  • Minimum 1 year experience in General Accounting functions (including Accounts Payable) required; knowledge of basic financial reporting operations highly preferred.
  • General understanding of spreadsheets and database applications preferred.
  • Excellent customer service skills and telephone etiquette required.
  • Multi-family experience highly preferred.
  • Strong organizational ability; must be able to handle multiple tasks simultaneously.
  • Detail-oriented.
  • Proficient knowledge of MS Word and Excel required; general office skills such as data processing, filing, emailing, and faxing.
  • Excellent language and communication skills (written and verbal).
  • Ability to work well with individuals at all levels in and out of the organization.
  • Ability to manage confidential information.
  • Excellent problem-solving skills.
  • Able to learn new processes and tools in a fast-paced environment.
