JOB SUMMARY

The Procurement & Logistics Support Officer is responsible for arranging logistical requirements for the import and export of various goods and equipment. This function covers the sourcing of brokerage and freight forwarders, review and validation of shipping documents, securing all permits and clearances from all related agencies and monitoring of arrival. This position is also responsible for other procurement functions such handling corporate insurance requirements, procuring products and service for various foundation projects and initiatives, vendor accreditation, asset disposal, procurement system administration and preparation of various reports for utilization of Management.

RESPONSIBILITIES

Logistics

Assist users with incoming and outgoing deliveriesPrepare monitoring reports and advise status of deliveries.Source for brokerage and freight forwarding providers for the shipments.Inform internal and external users on the special handling requirements needed for all types of logistical requirements.Evaluate billing of logistics brokers for payment endorsement.
InsuranceReview the completeness of the insurance requirements.Coordinate with vendors and request for submission of proposal.Prepare insurance canvass reports.Handle insurance claims concerns.
Foundation Projects and InitiativesConduct sourcing and procurement of products and services needed to support the projects and initiatives of the company and its various foundation.
Asset DisposalProcess disposal of surplus tangible assets of the company such as vehicles, equipment, office furnishings, etc.Determine appropriate method for disposal of assets and ensure items are disposed in an environmental friendly manner.Sourcing of scrap buyers and debris hauler.
Vendor AccreditationProcess and evaluate new vendors for accreditation.Inspect and validate vendors to be accredited, benchmark market prices, and evaluate special agreements.Guide suppliers through the setup and on boarding process.Maintain and update vendor database.
System AdministrationAct as procurement module system administrator (P2P, Contracts, SIPM, and Sourcing)Maintain the data and system files for the P2P system.Assist internal and external users in operating the P2P system.Review and implement account configuration requests.Log customer support requests and follow issues through to completion.Troubleshoot system issues within capacity. Raise other issues and concerns for resolution.
QUALIFICATIONSBachelor's or College Degree in any Supply Chain/Business related coursesMinimum of three (3) years first-hand experience in import/export and the documentation process it entailsMust be highly familiar with IncotermsSkill exposure to SAP, P2P Process and logisticsProficiency in Google Suite applications (Docs, Sheets, Slides, Drive)Knowledgeable in best procurement practices and negotiation skillsExcellent communication and interpersonal skills
