GENERAL PURPOSE OF THE JOB:

The Executive Assistant helps the COO, CFO and the Company President with tasks such as managing scheduling; drafting, reviewing, and sending communications; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; coordinating travel arrangements; maintaining records; taking notes at meetings and any other administrative tasks that help the President.

DUTIES AND RESPONSIBILITIES:

Plans and schedules meetings and appointments, coordinates conference and manages corporate events;Ensures that the materials for meetings are received on a timely basis;Ensures that the invitee list includes all relevant participants and arranges meeting space, audio-visual equipment and other tools requiredPrepares, edits and distributes correspondence, reports, presentations and any other forms of communication;Coordinates with other LTGC Officers/Heads on corporate reports and other requirements;Attends Senior Management meetings to take minutes of the meeting;Fields incoming correspondence (phone calls, faxes, email), serves as all-around gatekeeper to the President's office;Manages travel arrangements and expenses by making travel arrangements e.g., airfare, hotel and coordinates logistics/itinerary;Organizes and maintains files and records;Provides full administrative support to the President, CFO and COO Other Tasks:Performs other tasks that may be assigned by the President depending on the exigencies of the organization. JOB PROFILE:

Educational Background

Must have at least an educational attainment equivalent to a college/bachelor's degree in any business-related field Professional BackgroundMinimum of six (6) years of work experience as an Executive Assistant Knowledge RequirementsBasic knowledge of the following: (i) taking minutes of the meeting, (ii) preparing the itinerary of the President; (iii) Scheduling meetings; and (iv) knows how to set up the projector Skills RequirementsMust have good oral and written communication skills;Must have strong organization and records management skills;Must have strong analytical and thinking skills;Must be good at multitasking;Must have good time management skills; andSound decision-making skills Ability RequirementsMust be detail-oriented;Must have a strong work ethic; andAbility to handle confidential matters.
