Position Summary

The Procurement Officer is responsible for facilitating daily operations within the Supply Chain team, contributing positively towards achieving team goals and objectives. This role requires providing excellent service to both internal and external stakeholders and actively participating in company activities.

Responsibilities:

Purchase Order Management

• Raise Purchase Orders and place them online via the supplier's portal.

• List and track Purchase Orders (POs) that are past their estimated receipt date

• Investigate the status of all open POs and extend due dates or follow up as necessary

• Close completed or obsolete POs


Stock Level Monitoring

• Monitor stock levels continuously. Using our Netstock forecasting program to generate draft orders for every SKU.

• Capture out-of-stock items to ensure orders are placed before stock depletes to zero.

• Track the Estimated Time of Arrival (ETA) of overseas shipments.

• Ensure receipt of all shipping documents from vendors (e.g., commercial invoice, bill of lading, packing list, certificates).

• Match commercial invoices with PO details in the Financial Tracking (FT) system for accurate goods receipt.


Item Receipt Monitoring

• Monitor open IRs to ensure they are cleared and billed promptly

Landed Cost Allocation

• Allocate freight costs to each Item Receipt in Odoo.


Delivery Dockets Processing

• Process all dockets for received goods and completed services.

• Ensure invoices are sent to the Accounts Payable (AP) Mailbox.

• Investigate any discrepancies in the delivery docket list.


Reporting

• Live Stock Outs Report

• Manufacturing Schedule

• Delays Summary

• PO Status Report

• Sales Intel Form – collating intel and presenting to management team

• Sales Exceeded Forecast Report

Requirements:

•Proven attention to detail and accuracy in data management.


•Action orientated – fast, efficient, 'get stuff done' attitude.


•Excellent phone, email, and instant messaging communication and interpersonal skills.


•3+ Years experience in a Supply Chain Role.


•Experience in Odoo ERP, Netstock, 3CX, WordPress and M365 would be advantageous.


•Proficiency in data entry.


•Proven knowledge and experience with procurement processes e.g. inventory control, stock reporting and raising purchase orders.


•Strong organizational skills with the ability to manage multiple tasks efficiently.


•Positive attitude, adaptability, and eagerness to learn.


•Ability to thrive in a fast-paced and dynamic environment.
