JOB SUMMARY: Assists in the coordination of the daily operations of the General Services Unit (GSU) in its delivery of service to its clients.
RESPONSIBILITIES:
- Serves as central focal point for all air travel requests of SEARCA offices/departments/units .
- Prepares travel arrangement orders and travel tax exemption requests.
- Monitors unit's budget and records all expenses charged to specific expense line items.
- Maintains and reconciles accurate budget monitoring and submits updates on budget status reports to the GSU Head every month.
- Prepares budget documents (e.g., payment requisitions) and ensures accuracy of expenditures listed and timely payment.
- Conducts unit's quarterly supply inventory.
- Receives, logs, and monitors all incoming and outgoing communications.
- Monitors due dates of service providers' contracts.
- Monitors expiry dates of property insurance coverage.
- Receives, processes, and coordinates mails and courier services.
- Attends to inquiries and prepares communications and relevant reports.
QUALIFICATIONS:
Education
Bachelor's Degree in Business Administration or any related field
Work Experience
With two (2) years of work-related experience in the same capacity.
Required Skills:
- Ability to organize and prioritize tasks.
- Good organizational, interpersonal, and client orientation skills.
- Good communication skills, both written and oral.
- Proficient in computer software applications (word processing, presentation, spreadsheets, database, quantitative analytical tools).
Basic Knowledge: Basic Accounting, General Administrative Procedures
