Job Description of Executive Assistant

The Executive Assistant (EA) serves as a crucial support role to the President/CEO, providing high-level administrative assistance in managing daily tasks, priorities, and communications. Acting as a primary point of contact, the EA coordinates executive meetings, manages calendars, and handles confidential information with discretion. They are responsible for organizing travel arrangements, preparing documents and presentations, and ensuring efficient communication among various departments and stakeholders. The EA plays an important role in facilitating smooth operations and effective decision-making at the executive level.

Responsibilities:

  • Provide high-level administrative support to the President/CEO, effectively managing their daily activities, tasks, and priorities.
  • Act as the primary point of contact for the President/CEO, screening phone calls and directing inquiries to the appropriate department or individual.
  • Handle sensitive and confidential information with the utmost discretion, maintaining confidentiality and privacy at all times.
  • Manage an active calendar of appointments, meetings, and events for the President/CEO, ensuring efficient time management and scheduling.
  • Coordinate internal and external meetings, handling logistics, preparing agendas, and managing follow-up actions.
  • Prepare and compile documents, presentations, reports, and briefing materials for meetings, ensuring accuracy, relevance, and timely delivery.
  • Inform, advise and escalate emerging and sensitive issues to the President/CEO.
  • Arrange detailed and complex travel plans, itineraries, and agenda for the President/CEO, including domestic and international arrangements.
  • Coordinate transportation, accommodation, and other logistical requirements to ensure smooth travel experiences.
  • Take meeting minutes, distribute action items, and monitor progress to ensure timely completion of tasks.
  • Track project progress, update status reports, and communicate updates to stakeholders.
  • Provide general administrative support, including filing, photocopying, scanning, and faxing documents.
  • Perform other tasks, duties, and responsibilities as assigned by the President/CEO and other executives from time to time.

Minimum Qualifications

Educational Attainment and Experience:

  • Candidate must possess a bachelor's degree in business administration, marketing or equivalent.
  • At least 1 year of relevant work experience in the related field but fresh graduates are encouraged to apply.

Technical Skills:

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook for document preparation, data analysis, presentations, and email management.
  • Knowledge of communication tools like Zoom, Microsoft Teams, or WeChat for virtual meetings, messaging, and collaboration.

Soft Skills:

  • Exceptional ability to prioritize tasks, manage time effectively, and handle multiple projects simultaneously.
  • Excellent verbal and written communication skills to effectively interact with executives, team members, and external stakeholders.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Meticulous attention to detail to ensure accuracy in documents, correspondence, and data management.
  • Strong interpersonal skills with the ability to build relationships, collaborate with others, and work effectively as a team.
  • Proactive approach to work, taking initiative, and anticipating the needs of executives to ensure smooth operations and efficiency.
  • Fast learner, Flexible, and adaptable to changing priorities and deadlines.

Work Set-up:

  • Work from office.

Job Type: Permanent

Pay: Php20, Php30,000.00 per month
