This role

HeroForce is seeking a detail-oriented and proactive HR and Payroll Administrator to support our Philippines operations. In this role, you will be the backbone of our local administrative tasks, working closely with the HR, People Operations, Finance, and Payroll teams to ensure smooth employee lifecycles and compliance with government regulations.

This role serves as an important operational support function to the Payroll Accountant. The position is responsible for preparing, coordinating, processing, monitoring, and documenting payroll-related activities, while complex payroll matters, final payroll decisions, compliance interpretation, and payroll approval remain with the Payroll Accountant.

Key responsibilities will include

  • Collect and validate supporting documents and required approvals for payroll processing.
  • Review payroll-related requests for completeness and follow up with HR, People Operations, employees, and other stakeholders for missing information.
  • Perform preliminary validation of payroll inputs and flag discrepancies or unusual items to the Payroll Accountant/Processor.
  • Maintain accurate and up-to-date payroll-related employee records and trackers.
  • Assist in preparing payroll working files and supporting documentation for each payroll cycle.
  • Verify BIR 2316 submitted by newly onboarding employees.
  • Manage the documentation process for separating employees, including sending offboarding documents and securing signatures for Quitclaims, Final Pay Breakdowns, Certificates of Employment, etc.
  • Administer employee government benefit transactions, including SSS maternity notifications and reimbursement claims.
  • Conduct initial eligibility and document completeness checks and coordinate with HR and employees for required supporting documents.
  • Submit applicable benefit transactions through government portals and maintain submission records.
  • Monitor claim status and follow up with government agencies regarding pending, incomplete, or rejected transactions.
  • Provide the Payroll Accountant/Processor with approved benefit information and escalate complex cases or exceptions.
  • Maintain accurate employee records across SSS, PhilHealth, Pag-IBIG, and other applicable government portals.
  • Process applicable employee status updates and government record changes.
  • Assist with required statutory submissions and compliance activities based on current government requirements and company procedures.
  • Monitor portal transactions and promptly escalate rejected submissions, errors, or discrepancies.
  • Validate and certify employee loans through the respective government portals.
  • Process requests for loan amortization.
  • Secure and send the Authority to Deduct (ATD) forms for necessary salary deductions.
  • Conduct regular audits and reconciliation of HMO billing to ensure accuracy in employee coverage and company expenses.
  • Act as a first line of support for employee and client inquiries related to payroll, benefits, and offboarding.
  • Utilize ticketing systems to track, manage, and resolve issues promptly.
  • Assist in other Finance and Payroll administrative tasks.
