Responsibilities:


  • Provide administrative support to the Procurement Department to ensure the efficient and timely processing of procurement activities.
  • Prepare and maintain purchase requests, purchase orders, vendor records, and procurement documentation.
  • Coordinate with suppliers and internal departments regarding quotations, purchase orders, deliveries, and procurement-related inquiries.
  • Obtain and compile quotations from suppliers as requested by the procurement team.
  • Monitor the status of purchase orders and follow up with suppliers to ensure timely delivery of materials and services.
  • Maintain accurate records of procurement transactions, contracts, supplier information, and purchasing activities.
  • Verify procurement documents for completeness and accuracy before processing.
  • Assist in the evaluation and comparison of supplier quotations in accordance with company procedures.
  • Coordinate with Stores, Logistics, Finance, and Project Teams to ensure smooth procurement operations.
  • Maintain and update procurement databases, registers, and filing systems.
  • Generate procurement reports, purchase summaries, and other administrative reports as required.
  • Support vendor registration and prequalification processes by maintaining supplier documentation and records.
  • Ensure all procurement activities are carried out in compliance with company policies, procedures, and approval processes.
  • Assist in resolving procurement-related documentation and delivery issues.
  • Maintain confidentiality of procurement data, supplier information, and commercial records.
  • Ensure compliance with HSE requirements, company standards, and quality procedures.
  • Participate in continuous improvement initiatives to enhance procurement efficiency and administrative processes.
  • Perform additional duties as required to support departmental and operational requirements.


Qualifications & Experience:


  • Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Procurement, Logistics, Commerce, or a related discipline.
  • Minimum 03 years of relevant experience in procurement administration, purchasing, supply chain, or a similar role.
  • Experience in the construction, marine, dredging, engineering, or related industries is highly preferred.
  • Good knowledge of procurement processes, purchasing procedures, vendor management, and supplier coordination.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Familiarity with ERP systems such as SAP, Oracle, IFS, or similar procurement platforms is an advantage.
  • Strong organizational and administrative skills with the ability to manage multiple priorities and maintain accurate records.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and accuracy in documentation, reporting, and data management.
  • Ability to work effectively in a fast-paced, deadline-driven, and multicultural environment.
