The Role
You will be the first point of contact for new probate clients, responsible for managing intake, gathering facts and documentation, coordinating with attorneys, and ensuring that all case milestones are met. This is a management-level role we need someone who not only understands probate but can also help design and execute the process as we scale.
Key Responsibilities
- Serve as the first point of contact for new probate clients, handling intake calls with empathy and professionalism.
- Gather all relevant facts and documentation, ensuring accuracy and completeness.
- Manage intake workflow: open the matter, send invoices, schedule consultations, and prepare files for attorney review.
- Track deadlines, filings, and milestones, ensuring attorneys are completing required tasks on time.
- Coordinate communication between clients, attorneys, and referring partners.
- Maintain accurate records and updates in Clio, MyCase, Asana, Gmail, and other firm systems.
- Identify inefficiencies in the current process and recommend improvements.
- Manage a caseload of 2550 new matters per month, with strong attention to detail and follow-up.
- Support Spanish-speaking clients as needed (bilingual Spanish preferred).
What Were Looking For
- Probate experience familiarity with probate processes, terminology, and client needs.
- Background in intake, case management, or paralegal work within a law firm setting.
- Strong organizational and project management skills; able to manage multiple cases simultaneously.
- Confident using legal software and productivity tools (Clio, MyCase, Asana, Gmail, Zoom, etc.).
- Excellent interpersonal and communication skills empathetic, clear, and professional.
- Self-starter who can work independently while collaborating closely with attorneys.
- Bilingual in Spanish/English strongly preferred, as we are preparing to expand into South Florida criminal defense ads.
