Operations Officer

We are seeking a highly organized and process-driven Operations Officer to join our growing Operations team. This role will directly support the Associate Director of Operations in managing administrative functions, employee documentation, and operational compliance across the employee lifecycle.
The ideal candidate brings strong experience in employee coaching, performance documentation, and coordination with both internal teams and client-side stakeholders. This role suits a proactive professional who thrives in a fast-paced environment, demonstrates excellent communication skills, and balances administrative precision with people-focused leadership.
Key ResponsibilitiesAdministrative & Documentation Support
- Prepare, track, and maintain employee-related documentation across the employee lifecycle, including Personnel Action Forms (PAFs), Notices to Explain (NTEs), Incident Reports (IRs), and other official records.
- Conduct regular attendance audits to ensure compliance with company policies and client requirements.
- Manage and organize operational and HR-related data, ensuring timely, accurate, and compliant reporting.
- Support compliance monitoring, audit readiness, and operational efficiency initiatives in collaboration with the Associate Director of Operations.
- Support and document employee coaching sessions in coordination with Operations leadership.
- Identify recurring employee concerns or performance trends and escalate findings with actionable recommendations.
- Ensure consistent application of company and client policies related to attendance, performance, and conduct.
- Serve as an operational liaison between internal teams and client supervisors or decision-makers
Facilitate alignment and communication between client teams, Operations, and HR.
- Participate in client meetings or check-ins to provide updates on employee performance, documentation status, and ongoing support actions.
- Assist in streamlining administrative and operational processes to improve efficiency, accuracy, and documentation quality.
- Identify workflow gaps or inefficiencies and collaborate with leadership to implement sustainable improvements.
Maintain strict confidentiality and handle sensitive employee information with discretion.
- Bachelors degree in Business Administration, Human Resources, Psychology, or a related field.
- Minimum of 3–5 years experience in operations, HR administration, or employee relations within a BPO or professional services environment.
- Strong knowledge of employee documentation, compliance standards, and disciplinary processes (PAFs, NTEs, IRs).
Proven ability to communicate effectively with employees and client-side stakeholders.
Highly organized, detail-oriented, and process-focused.
Excellent written and verbal English communication skills.
Strong problem-solving, time management, and prioritization abilities.
Experience using HRIS or timekeeping systems for attendance tracking and documentation.
Knowledge of Philippine labor laws and compliance standards.
Prior client-facing experience in an Operations or HR role.
Ability to work independently while collaborating effectively across departments.
