AT A GLANCE (OVERVIEW)
The Visual Merchandising Coordinator supports the in-store marketing team in the planning, and execution of VM projects across physical brand touchpoints — stores, events, pop up activations, etc. This role focuses on administrative support, supplier coordination, project tracking, and billings, to ensure VM operations are running smoothly behind the scenes, working closely with internal teams and external partners to bring brand campaigns to life in-store.
YOUR OVERALL MISSION & DAY-TO-DAY
Visual Merchandising Project Management
- Align installation schedules with suppliers and secure work permits in collaboration with the Retail Operations team
- Track and update on deployment progress, prepare execution reports
- Maintain the VM calendar and tracker of all projects
- Support the VM team in walkthroughs, mock-ups, and in-store checks as needed
Visual Merchandising Inventory & Logistics
- Prepare and sort VM items for dispatch from HQ to stores and/or event locations
- Coordinate deliveries from HQ to stores, suppliers, and events
- Manage inventory of visual merchandising items, including allocation and dispatch across all stores and projects
- Organize and maintain the physical inventory of VM assets, props, and samples
- Maintain and update the directory of VM assets and modules per store
- Process orders for new and replenishment VM items in coordination with suppliers
- Support travel arrangements and permit coordination for store openings and brand activations
Billing & Administrative Support
- Prepare and route job orders, quotations, and internal approval documents
- Track expenses, validate supplier billings, and process purchase orders
- Maintain updated records of project costs, billing status, and supporting documentation
YOUR TALENT (QUALIFICATIONS)
- Bachelor of Science in Marketing, Advertising, Business Management, or Bachelor of Fine Arts in Design, Fashion or related field
- 2-3 years of work experience in project management, operations, or administrative support
Visual merchandising knowledge and experience is a plus.
Detail-oriented and organized, with a strong sense of ownership and follow-through
Exceptional organizational and time management skills
- Strong ability to manage stress, work on multiple moving projects at once
- Strong verbal and written communication skills, and ability to collaborate with different teams and suppliers
- Flexibility to travel, work remotely and work extended hours
- Proficient knowledge in Microsoft Office and similar tools required; familiarity with project tracking tools is a plus
