The Medical Document Specialist is responsible for managing, organizing, and maintaining all sales and compliance-related documentation for Phoenix One Medical Solutions Inc. This includes proposals, contracts, product certifications, and hospital accreditation requirements. The role ensures that all records are accurate, up-to-date, and compliant with internal standards, client requirements, and government regulations. The position supports both the Sales and Regulatory Affairs teams in ensuring efficient documentation flow and audit readiness.

Key Responsibilities:

  • Prepare, review, and manage all sales-related documents, including proposals and contracts.
  • Ensure that all documents comply with company standards, client requirements, and government or regulatory guidelines.
  • Coordinate with Sales, Finance, and Regulatory Affairs teams to ensure timely and accurate document submission.
  • Prepare, review, and maintain medical and technical documentation related to hospital accreditation, product registration, and client compliance.
  • Assist in the preparation and submission of accreditation documents to hospitals and relevant government agencies.
  • Maintain a well-organized electronic and physical filing system for all company documentation.
  • Track document revisions and control distribution to ensure only current versions are in circulation.
  • Support audits and inspections by providing accurate and updated documents as required.
  • Generate and maintain logs, reports, and summaries of all controlled documents.
  • Handle all company and client information with a high level of confidentiality and professionalism.

Qualifications:

  • Bachelor's Degree in Medical, Science, Business, or Healthcare-related field (e.g., Nursing, Medical Technology, Biology, Marketing).
  • Minimum of 1–2 years of experience in documentation management, sales administration, or regulatory affairs within a medical or healthcare setting.
  • Knowledge of medical device documentation and hospital accreditation processes is an advantage.
  • Strong attention to detail, accuracy, and organizational skills.
  • Proficient in Microsoft Office applications and familiar with document control systems.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple documentation tasks and meet deadlines effectively.
