Position Overview:

Maintain audit‐ready operations at all times. Policies, service agreements, documentation and evidence aligned to NDIS Practice Standards, My Aged Care requirements, and Australian Work Health & Safety (WHS) legislation, so an auditor can "pull any file, any day" and find everything in order. Maintain an ISO‐aligned WHSmanagement system integrated with our quality framework.

Core Responsibilities

  • Document Control: Maintain current policies, procedures and forms; version control; controlled distribution (quality and WHS documents, including SWMS, risk assessments, emergency plans, SDS).
  • Service Agreements: Ensure all participant service agreements are current, signed and filed to standard; track expiries/renewals;verify scope aligns with services delivered.
  • Audit Readiness: Run a perpetual internal audit schedule against NDIS Practice Standards, My Aged Care requirements and AS/NZS ISO 45001; compile evidence packs; coordinate management responses and corrective actions.
  • Training & Competence: Track mandatory training, induction and refreshers; report gaps to People & Culture via Employment Hero. Include WHS competencies (manual handling, infection prevention, first aid/CPR, hazard identification, incident reporting, emergency response, aggression/behaviour management, driver safety/lone‐worker protocols).
  • Incident/Complaints Registers: Maintain incident, near‐miss and complaints logs; monitor trends and preventive actions. Lead or support root‐cause investigations for WHS and service incidents; ensure notifiable incidents are escalated and reported to the relevant state/territory regulator within required timeframes; verify corrective actions are implemented and effective.
  • Records & Privacy Ensure client/participant records meet documentation standards (timely notes, consent, risk assessments, plan changes). Maintain WHS records (risk assessments, consultation minutes, training, inspections, plant/equipment checks, injury management).
  • Aged Care Expansion Prepare compliance artefacts to enable My Aged Care service delivery (policies, screening, documentation), including Aged Care‐relevant WHS controls (home‐visit risk checks, infection control, manual handling).
  • Stakeholder Support. Partner with MD, GM, People & Culture and Service Delivery to close gaps swiftly.
  • SOPs & Process Mapping Use Scribe to capture "the way we want it done"; keep a controlled library; facilitate periodic reviews (quality and WHS critical tasks).

Dedicated WHS Responsibilities

  • WHS management system (ISO‐aligned): Maintain and continuously improve a WHS MS integrated with the QMS; maintain legal and other requirements registers.
  • Risk & hazard management: Maintain organisational and site/service risk registers; complete and review task and client specific risk assessments (e.g., community/home settings, manual handling, infection risk, driving/lone work, occupational violence & aggression, chemicals); apply the hierarchy of controls and verify effectiveness.
  • Consultation & governance: Coordinate HSR elections (where applicable), safety committees, toolbox talks and worker consultation; publish actions and outcomes.
  • Inspections & monitoring: Plan and conduct workplace and vehicle inspections, home‐visit environment checks, PPE checks, and equipment maintenance/calibration; manage SDS and hazardous chemicals registers.
  • Emergency preparedness: Maintain emergency response plans, drills, first‐aid coverage and kits; ensure business continuity interfaces with WHS emergency controls.
  • Contractor management: Pre‐qualify contractors; collect insurances, SWMS and competence evidence; monitor performance and close actions.
  • Injury management & RTW: Coordinate workers' compensation notifications, suitable duties and return‐to‐work plans in partnership with P&C.
  • Psychosocial risk management: Implement controls for psychosocial hazards (e.g., workload, fatigue, aggression, remote work) and maintain reporting and support pathways.
  • Reporting & insights: Produce WHS metrics (e.g., incidents, near‐misses, training completion, inspection actions) and recommend improvements.

Qualifications & Experience

Experience:

  • 5+ years in NDIS/health/aged care compliance or quality assurance, with demonstrated responsibility for WHS in an Australian context.
  • Experience establishing or maintaining an AS/NZS ISO 45001‐aligned WHS management system, ideally within community or clinical service environment.

Knowledge:

  • Strong grasp of audit methodologies and record-keeping requirements.
  • Working knowledge of Australian WHS legislation and Codes of Practice, risk management principles, incident notification obligations, and consultation requirements.

Skills:

  • MYP (participant records, service delivery) and WHS modules (or equivalent) for incidents, hazards and actions.
  • Employment Hero (training/HR integration); Splose for Allied Health; Teams/TeamViewer/3CX for collaboration.
  • Competence in risk assessment, incident investigation, corrective & preventive action management, and internal auditing.
  • Excellent written English; high attention to detail; confident navigating standards and policies; able to coach managers and frontline teams on practical WHS controls.
