Zoho SaaS Administrator

Overview:

We are seeking a Zoho SaaS Administrator to lead the setup, configuration, and optimization of our Zoho environment as we migrate from our legacy SkyWave CRM. This role will be responsible for designing and implementing the foundation of our new CRM and automation ecosystem across three brands under Titan Services Inc.: R3SOURCE, TitanPrep, and EDAPT.

The SaaS Admin will play a key role in defining structure, ensuring system integrity, and building clarity through dashboards, automations, and integrations. This is a senior-level technical operations role that will collaborate directly with the executive team and serve as the internal Zoho expert and system owner.

• System Configuration & Architecture

• Set up and configure Zoho One environment, including CRM, Flow, Analytics, Books, Projects, and related apps.

• Establish and maintain information architecture (data structure, relationships, and user access by brand).
• Implement security roles, profiles, and field-level permissions across all user groups.
• Manage sandbox and production environments, ensuring controlled release and versioning.

• Automation & Integration

• Design and implement low-code/no-code automations using Zoho Flow and native tools.

• Connect CRM data with external apps and Zoho ecosystem products (Desk, Books, Projects, Analytics).
• Build workflows, validation rules, and system triggers to improve efficiency and eliminate manual processes.

• Data Quality & Reporting

• Develop and maintain dashboards, reports, and analytics views for executives and department heads.

• Oversee data migration, cleansing, and deduplication from SkyWave to Zoho.
• Implement ongoing data quality metrics and monitoring.

• User Management & Support

• Serve as the system administrator for Zoho — managing user onboarding, licensing, and troubleshooting.

• Create SOPs, training guides, and Loom videos for end-user adoption.
• Provide first-line support for configuration and workflow adjustments.

• Project Management

• Work within an Agile/Kanban framework to deliver in short sprints.

• Collaborate with project managers and developers (when needed) to plan and execute backlog items.
• Participate in sprint reviews, retrospectives, and release documentation.

• Required Experience

• Minimum 3–5 years experience as a Zoho Administrator or in SaaS system administration (Zoho, Salesforce, HubSpot, etc.).

• Hands-on experience configuring Zoho CRM and Zoho Flow, with strong understanding of Zoho Oneecosystem.
• Demonstrated ability to manage multi-brand or multi-organization environments.
• Strong knowledge of user roles, permissions, data security, and automation design.
• Experience supporting or managing Agile-based projects using Zoho Sprints or similar tools.

• Preferred Experience

• Experience in data migration from legacy systems.

• Basic understanding of Deluge scripting or API integrations.
• Familiarity with Zoho Analytics and dashboard creation.
• Strong communication and documentation skills.
