Job Responsibilities:

For Procurement:

  1. Creates Purchase Order (PO) for Admin and various requests from other departments.
  2. Routing of PO's for approval.
  3. In-charge of batch printing of Petty Cash PO and PO Receiving of Provincial Distribution Centers (DC).
  4. Assists in canvassing of requested items for purchase and liaise with the Procurement Officer when necessary.
  5. Ensures that items and documents for dispatch through accredited courier is properly scheduled.  Strictly enforces the cut-off time and day.
  6. Receiving of delivered items and creation of PO-Receiving.
  7. Monitoring of warranty period of purchased items.
  8. Ordering, receiving and distribution to DC's of marketing mailers and collaterals.
  9. Updating of approved budget in shared file upon PO preparation.

For General Services:

  1. In-charge of SF centralized outbox of documents and sending to DCs.
  2. Prints out Supplies Requisition from DCs for system-out of Accounting.
  3. Recording and releasing of found items.
  4. Arrange refreshments for corporate and departmental meetings.
  5. Filing and safekeeping of Admin documents and contracts.
  6. Facilitates special occasion requests from HR – flower request and delivery, etc.
  7. Loading of pocket wi-fi and broadband sticks.
  8. Facilitates sale of scrap materials.
  9. Assists in processing of Fleet Card requests – new, renewal and cancellation
  10. Ensures that supplies inventory is well maintained including its distribution and disposal.
  11. Manages administration staff schedule and work plans: Security, Janitors, Helpers and Maintenance.
  12. Safekeeping of All Non-Life Insurance Policies
  13. Process request for payment for SF utility billings
