We are seeking a highly skilled and detail-oriented Client Coordinator. This is a remote freelance position requiring exceptional organizational skills, creative design capabilities, and flawless English communication.
Key Responsibilities:
Administrative Excellence:
-Manage complex scheduling across multiple time zones
-Full diary management including work and personal appointments
-Coordinate travel arrangements for international meetings and venue visits
-Handle confidential correspondence with artists, venue partners, and brand executives
-Prepare detailed meeting notes, reports, and project summaries
-Maintain organized digital filing systems for contracts, artist profiles, and venue documentation
Content Creation & Design:
-Create professional presentations, pitch decks, and marketing materials using Canva
-Update and maintain company website using WIX platform
-Design social media content for artist promotions and venue marketing
-Develop branded templates for contracts, proposals, and client communications
-Edit and format documents ensuring consistent brand presentation
Data Management & Analysis:
-Build and maintain spreadsheets tracking artist bookings, venue partnerships, and revenue streams
-Create financial reports and performance dashboards using advanced Excel functions
-Manage contact databases for artists, venues, promoters, and industry contacts
-Generate analytical reports on booking trends, venue performance, and market opportunities
Communication & Coordination:
-Serve as primary point of contact between Founder and external partners
-Draft professional emails, contracts, and business correspondence
-Coordinate multi-party calls and virtual meetings with international stakeholders
-Manage project timelines and ensure deliverables are met across all entertainment initiatives
Qualifications & Requirements:
-Minimum 3 years' experience as a client coordinator, account coordinator, or similar role
-Proven track record supporting C-level executives or business founders
-University degree required
-Fluent English, both written and spoken at native or near-native level
-Advanced Microsoft Excel proficiency (pivot tables, VLOOKUP, complex formulas, dashboards)
-Expert-level Canva skills (custom design creation, brand template development, multimedia content)
-WIX website editing experience (content updates, page creation, design modifications, site maintenance)
-Proficiency in Google Workspace (Gmail, Drive, Calendar, Docs, Sheets)
-Exceptional attention to detail, proactive approach, and ability to handle confidential information
-Experience in entertainment, events, or creative industries preferred but not essential
- Experience managing social media accounts and creating content
Portfolio / Sample Requirements:
-Samples of Excel dashboards or complex spreadsheets
-Examples of professional designs created in Canva
-Screenshots or links to WIX websites edited or maintained
-Writing samples demonstrating professional English communication
Working Arrangements:
-Must be available 9am–5pm Sydney Time (AEST/AEDT), Monday through Friday
-Expected availability: 20–38 hours per week with flexibility outside core hours
-Occasional weekend or evening work during major events or launches
-Must respond to urgent communications within 10 minutes during Sydney business hours
