Profile Requirements:
- Experience Level: Minimum 2.5-5 years in client-facing administrative or customer service roles, ideally within medspa, wellness, or aesthetics sectors.
- Communication Skills: Excellent phone and written communication skills with a warm, polished, and professional tone.
- CRM Familiarity: Hands-on experience with GoHighLevel or similar CRM and booking systems; ability to manage automations and workflows is a plus.
- Attention to Detail: High accuracy in handling appointments, messages, and client follow-ups to ensure seamless client experiences.
- Tech Savvy: Comfortable navigating cloud-based tools and CRM platforms with efficiency and accountability.
- Client-Centric Mindset: Strong ability to listen, anticipate needs, and maintain discretion and empathy with wellness and beauty clientele.
Core responsibilities:
- Client Communication: Respond promptly and professionally to incoming calls, emails, and inbox messages regarding appointments, services, and general inquiries.
- Booking Admin: Manage bookings and calendar coordination using GoHighLevel, ensuring accuracy and follow-through for treatments, consultations, and follow-ups.
- Inbound Support: Track and respond to new leads from web forms, campaigns, and SMS inquiries with speed and care, contributing to high lead-to-booking conversion.
- System Navigation: Utilize GoHighLevel CRM to manage contacts, pipelines, notes, and appointment flows in alignment with clinic procedures.
- Service Coordination: Provide clients with pre-visit guidance, post-care instructions, and support with questions related to skincare, injectables, and wellness services.
- Administrative Support: Assist with backend tasks such as client intake management, rescheduling, reminders, and maintaining up-to-date client records.
