JOB SUMMARY:

Responsible for ensuring smooth business operations by managing government liaison activities, documentation, compliance, and field-level administrative support such as document delivery and coordination. The role requires strong coordination skills, attention to detail, and proactive engagement with internal teams and external stakeholders.

KEY RESPONSIBILITIES:

Coordination with Agencies & Third Parties

  • Respond promptly to agency requests and follow-ups with proactive updates
  • Ensure regulatory requirements and obligations are met by submitting accurate documentation, payment dues and coordinating with relevant authorities.

Documentation and Records Management

  • Organize and maintain accurate records in coordination with internal teams.
  • Support the Document Controller in enhancing the company's file management system to improve accessibility and efficiency.
  • Conduct thorough checks to ensure submissions are error-free and minimize resubmissions.

Collaboration and Support

  • Work closely with internal teams in gathering necessary information and address regulatory or documentation concerns.
  • Provide support to project teams by ensuring permits, clearances, and other required documents are secured in a timely manner.
  • Identify and proactively resolve potential risk/compliance challenges before they escalate.
  • Ensure timely completion of assigned tasks and deliverables to support efficient departmental and organizational operations.
  • Demonstrate strong attention to detail in handling documents, organizing information, and executing administrative tasks to ensure accuracy and quality.
  • Act as the company's liaison and field support, handling both coordination with government agencies and physical submission or retrieval of documents, permits, and clearances.

Logistics & Administrative Support

  • Manage the secure and timely delivery/collection of documents, packages, and communications between offices, government agencies, and other partners.
  • Ensure documentation and transactions follow established standard.
  • Support general administrative tasks and other duties as assigned.
  • Adhere to all other tasks that may be assigned from time to time, depending on the evolving needs of the HRAD team or the organization.

QUALIFICATIONS:

  • College graduate or graduate of a technical or vocational course.
  • Additional certifications related to government liaison, administrative support, or logistics are a plus.
  • At least 1 year of experience in coordinating with government agencies and instrumentalities.
  • Proven track record of safe driving with a valid driver's license.
  • Experience in administrative support, logistics, or similar roles is an advantage.
  • Strong organizational and time/project management skills.
  • Excellent interpersonal and communication skills.
  • Ability to work independently and manage multiple tasks effectively.
  • Willingness to travel anywhere in the Philippines.
