The position is responsible for leading, managing the branch's efficient daily operation. The main objective of this post is the achievement of sales targets, increase sales drivers and efficiently & effectively deliver the TFI service culture to its clients.

The Branch Head/Management Trainee is responsible in assisting the Area Operations Manager relative to the smooth operation of the Branch. She is responsible for the branch's operational efficiency and is also tasked to handle the Branch sales & inventory monitoring, effective implementation of customer service standards, compliance to operational processes and systems.

IV. DUTIES AND RESPONSIBILITIES

SALES MANAGEMENT

  • Ensures sales targets for the day/s, weeks or month are achieved at all times.
  • Ensures smooth operations of the branch
  • Leads in the submission of monthly sales performance and analysis reports.
  • Assist the AOM in development & implementation of actions plans for the achievement of targets.
  • Conduct market and competition studies and surveys.
  • Leads in the computation of individual sales targets for each staff on a monthly basis and monitors individual achievements.

OPERATIONS

  • Proactively ensure smooth and continuous operations of the branch
  • Maintains, updates and secures the official files, reports, logbooks and other required documentation.
  • Opens and/or closes the branch and ensures implementation of all opening and closing procedures.
  • Ensures adequate supply of small bills and loose coins.
  • Conducts daily cash audit of the total cash funds and records the same in the Daily Cash Count.
  • Ensures cash sales are deposited as scheduled.
  • Secures the cash funds, credit card summaries and gift cards in the vault.
  • Ensures adequate supply of all operating supplies and makes the necessary orders of select supplies and purchases for replenishment upon concurrence of the AOM.
  • Monitor's staff attendance and reports extreme attendance deviations to the AOM.
  • Prepares the petty cash replenishment reports in Procurify
  • Ensures the timely submission of all documents required by the office.
  • Coordinate concerns with the AOM in her absence.
  • Coordinates with mall admins, Area Operations Manager, Facilities officer,
  • Accounting, Marketing and HR for branch concerns
  • Implement game-changing strategies, systems and processes to achieve operationsconsistency and efficiency
  • Address and review branch operations issues and develop action plans that are in line with continuous process and improvements for branch growth and objective
  • Strategies, systems, and process must be aligned with the company's values and implemented using clear, easy-to-follow documentation, and must take into account future-case scenarios
  • Ensures that housekeeping standards and guidelines are implemented and maintained
  • Ensures that the audio system is operational and in good condition.
  • Make sure that 100 % of the time, all rooms, machines and employees of the branch are safely operating and well utilized to achieve maximum sales potential
  • Make sure that the branch are using correct systems as employed by the management (inventory management system, itineraries, decking, claygo, etc)
  • Conduct daily check of the overall presentation of the branch
  • Ensures daily adherence to visual & product display guidelines and standards.
  • Ensures that security guidelines, procedures and policies are complied with.

INVENTORY

  • Updates inventory master file on a weekly basis
  • Ensures that inventory count is declared following set protocols in the inventory declaration
  • Safe keeps all delivery and transfer documents.

CUSTOMER SERVICE

  • Deals with all customer complaints
  • Maintain positive relations with all contacts, guests, potential guests and team members in order to expand the branch's pool of clients
  • Responsible in promoting and marketing the company's services and products, campaigns/promotions, retail, in order to meet the required performance of the branch
  • Recommends sales and promotional strategies for the branch in order to achieve a higher target
  • Ensures that customer service excellence is exercised and practiced in the branch by all employees at all times
  • Responds and acts immediately to customer's concerns to ensure that customer satisfaction is met
  • Constantly tracks and checks branch employees' adherence to the company's objective on Customer Service excellence is maintained at all times

Other Tasks:

  • Performs Employee Performance Reviews
  • Approves any service recovery discounts or discounts in general
  • Manpower Scheduling: Making sure that all employees follow the correct shifts and rotations and that there is enough staff to perform services and accommodate clients during all working hours
  • Approves and disapproves leaves, under time, overtime, change shift, etc.
  • Recommends hiring, suspension, dismissal, or additional training of branch operations staff
  • Ensures that all treatments finish on time (not going beyond) and are monitored, and that all treatments are accounted for
  • Educate staff on how to deal with client complaints and how to up sell packages and services
  • Ensure that all therapists are synchronized in terms of service and information (saying the same thing)
  • Initiate, recommend & authorize text blasts to increase sales and foot traffic
  • Handles all staff problems and concerns, constantly ensuring that all staff mentally and physically fit for work
  • Conducts pre-operations checking on cleanliness, orderliness, and readiness of the branch
  • Ensures all Branch document is well filed and kept (Govt Permit, Memos,Service Reports etc).
  • Ensures that regulatory permits are complete and properly accounted for
  • Ensures that all keys are properly distributed to all key persons (main door, cabinets and room)
  • Ensures, monitors & track branch inventory for supplies & consumables following the required minimum standard quantity
  • Responsible in submitting required reports on or before set deadlines

QUALIFICATION REQUIREMENTS

  1. Graduate of 4 year course, preferably medical or business related courses

  2. With minimum of 3 years experience in handling store/branch management particularly on Wellness & Grooming industry. 2 to 3 years as solid experience in either supervisory or managerial level.

  3. Highly organize and must be able to motivate her team, assess situations quickly and solve problems.

  4. Excellent written, verbal communication skills

  5. Must be able to work both independently and as a team player

  6. With sound judgment on handling basic to vital decision making, and can pay attention

to internal and customers, and with excellent negotiation and speaking skills to resolve the issue

  1. Able to lead and handle cross functional roles or collaborative roles
