Job Overview

As a Receptionist, you will be the first point of contact for employees and visitors, ensuring a professional and welcoming environment. This role also provides administrative support to the Facilities Administrative Manager and assists in maintaining smooth office operations.


Key Responsibilities

1. Administrative Support

  • Assist with scheduling, calendar management, and organizing paperwork.
  • Prepare reports, presentations, and correspondence.

2. Accounts Payable

  • Process accounts payable for the facilities department.
  • Review invoices, verify accuracy, and ensure timely payments.

3. Supply Management

  • Order office and custodial supplies; monitor inventory and restock as needed.
  • Coordinate with vendors and negotiate pricing.

4. Facility Maintenance

  • Assist with minor repairs and coordinate maintenance services.
  • Ensure facilities are clean, safe, and well-maintained.

5. Communication & Customer Service

  • Respond to employee and visitor inquiries regarding facility matters.
  • Maintain a professional and positive demeanor.

6. Record Keeping

  • Maintain accurate records of expenses, repairs, and maintenance.

7. Health & Safety Compliance

  • Ensure compliance with safety regulations; report hazards promptly.

8. Team Collaboration

  • Work closely with administrative staff and department heads on projects.

Qualifications & Experience

  • Bachelor's degree in Business Administration, Hospitality, or related field.
  • At least 1 year of relevant experience in a similar role.
  • Strong communication and organizational skills.
  • Proficiency in MS Office applications.
  • Willing to work on a Night Shift
