Overall Purpose of The Job

To provide under management vessels with the necessary administrative support in order to achieve consistent levels of victualing service within the given budgetary guidelines and as per client agreements.

To assist Victualing Department, with the completion of victualing reports, data entry and other budget related tasks.

To assist Victualing Department, with the reviewing and approval of deliveries.

To assist other departments swiftly and promptly with information or other supportive services that may be requested.

Key Responsibilities and Tasks

  • To supervise the daily workflow and ensure that targets are met
  • To monitor the team's annual leaves and proper manning of the office at any given time
  • To meet deadlines as placed by the Senior management
  • If needed and based on workload, to review and approve delivery reports for a number of vessels as required
  • To ensure that reported quantities and values of the deliveries match to the items invoiced by suppliers
  • If needed and based on workload to check and process supplier invoices ensuring that any disputes are cleared in direct communication with the vendors
  • To communicate with Victualing and Operation officers for issues pertaining to deliveries and invoices.
  • To compute the monthly victualing reports, upload takeover stocks for a number of vessels, as required.
  • To assist in the preparation of consumption related reports to management and clients as requested.
  • To communicate interoffice issues as required.
  • To assist in the control of activities (as per company guidelines) in case of incidents.
  • Any other duties that may be requested by management.

  • Very good understanding of finance and process good analytical skills.
